Job description

PURPOSE OF THE POSITION:
To support the effective functioning of the department by providing operational assistance in archival activities, including the preservation, processing, digitisation, and accessibility of archival records at the Mahikeng Campus, while delivering client services in compliance with institutional policies, procedures, and standards.
 
KEY RESPONSIBILITIES:
1.    Archival operational support:
Responsible for:
  • Supporting the digitisation and digitalisation of archival records currently held in storage, including preparation, scanning, and quality checking.
  • Maintaining the Archives online storage areas to manage digital records. Upload digital records to archive software for research and disaster recovery purposes.
  • Create and manage inventory of all records in storage and all digital records.
  • Maintaining the overall tidiness and organisation of all archival storage areas, in collaboration with Cleaning Services.
  • Monitoring the physical storage areas daily, including patrolling inside and outside the building to identify and report risks such as pests, dust, poor lighting, water leaks, or any emergencies.
Assists with:
  • In collaboration with the Archivist, assists clients (researchers, staff, and students) by providing guidance and support with information requests.
2.    Occupational Health and Safety (OHS):
  • Responsible for adhering to protocols and rules. This includes active participation in fire evacuation drills, bomb threat procedures and ensuring safety measures are followed within the department.

Minimum requirements

  • Grade 12 (NQF Level 4).
  • A minimum of 2 years’ experience in Archive records administration.
RECOMMENDATIONS/ ADDED ADVANTAGES:
  • Certificate in Archival Sciences, Records Management, Information Sciences.
  • A minimum of 1 year experience in Basic/ General records management.
  • A minimum of 1 year experience in Basic/ General knowledge of working with archival records.
 
KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:
  • Basic reading and writing skills
  • Basic computer literacy email application and MS Word/Excel, Cloud storage
  • Basic organisation capabilities
  • Client service orientated
  • Good communication skills

  • Correct and neat
  • Organising skills
 
REMUNERATION:
The annual total remuneration package will be commensurate with the level of appointment as advertised and in line with the NWU policy guidelines.
