NORTH-WEST UNIVERSITY (POTCHEFSTROOM CAMPUS) FACULTY: FACULTY OF HEALTH SCIENCES POSITION NUMBER: P002296 VACANCY: SENIOR ADMINISTRATIVE ASSISTANT PEROMNES GRADE: 12 EMPLOYMENT TYPE: PERMANENT PURPOSE OF THE POSITION Support in all administrative tasks, assistance to CHHP Sport Science and Biokinetics program, managing files and records, and capturing of data. To work according to a fixed procedure and against checklists to ensure the correctness and completeness of records against deadlines and checklists.
Job description

KEY RESPONSIBILITIES:
 Administration
  •        Data, team lists, basic human resources etc.
Finances
  •        Quotations, orders, receive purchases etc.
Management
  •       Assistance to Head: Sport Science and Biokinetics

Minimum requirements

 MINIMUM REQUIREMENTS:
  •        Grade 12 (NQF level 4) or an equivalent qualification in administration.
  •        A minimum of 2 years’ experience in general administrative work. 
FUNCTIONAL/ TECHNICAL COMPETENCIES (KNOWLEDGE AND SKILLS)
  •        Formal training in using MS Office (Word, Excel, PowerPoint), Internet, KFS, various applicable systems e.g Management Information System.
  •       Knowledge of administrative clerical procedures and systems such as word processing, managing files and records, office procedures and terminology, capture data as well as compile reports.
  •       Knowledge and skills with regard to the use of specific office software programs.
  •       Knowledge of principles for providing customer and personal service.
  •       Knowledge of the structure and content of the appropriate language including the meaning and spelling of words, rules of composition, and grammar.
  •       Capable to manage the electronic calendar of the CHHP with regards to appointments, testing, meetings, training etc.
BEHAVIOURAL COMPETENCIES
  •        Utilize proper grammar, punctuation, spelling and correct of information
  •        Ability of utilize various software programs for word processing and spreadsheets
  •        Perform basic mathematical operations with accuracy
  •        Communication effectively with students, clients, and staff
  •       Demonstration of language proficiency to function optimally in the various multilingual environments of the NWU
  •        Ability to prioritise ongoing administrative tasks and manage time well
  •        Actively look for ways to help staff and clients
  •        Attention to detail
