NORTH-WEST UNIVERSITY (POTCHEFSTROOM CAMPUS) DIVISION: FINANCE AND FACILITIES POSITION NUMBER: P001676 VACANCY: ADMINISTRATIVE ASSISTANT PEROMNES GRADE: P13 EMPLOYMENT TYPE: PERMANENT PURPOSE OF THE POSITION The role of the Administrative Assistant is essential for effective operations in the office of the Project Manager PC RCS, to see that suppliers operates in accordance with NWU requirements, policies, guidelines, tenders, and procedures. Processing payments for completed maintenance work orders, purchasing material and equipment, handling enquiries with regards to status of maintenance requests and reporting to deviations to Project Manager.
Job description

Handling of interdepartmental work orders
•     Route and re-send work orders to contractor as requested.

 Purchase and stock orders
•     Request quotations and create purchase- and stock orders for Project Manager and Technical assistant.

 Financial
•     Check invoices for correctness, see that it is in accordance with maintenance contract prices tendered, falls within department operating procedures,
and that labor hours and material claims are correct priced.
•     Request invoice corrections of invoices when required.
•     Capture invoices and finalize payments on KFS.
•     Keep summary of payments.
•     Handling enquiries with regards to outstanding payments of invoices.

Service desk
•     Assistance provided to log work orders.
•     Handle enquiries with regards to status of work orders.

Ad hoc
•     General liaison between Maintenance Manager, Department & Contractors.
•     Office administration.

Personal development
•     Developing one's own person by attending appropriate courses

Minimum requirements

•     National Senior Certificate – with Maths and Accounting or an equivalent qualification.
•     Good interpersonal relations.
•     A good client-service orientation.
•     Minimum of 1 – 2 years relevant experience in a similar field.
 
ADDED ADVANTAGE:     
•     Financial experience.
 
KEY FUNCTIONAL & TECHNICAL COMPETENCIES:
•     Computer skills in Microsoft Word, Excel, PowerPoint, e-mails, and Internet.
•     Proven knowledge of general financial principles.
•     Strong organizational and time-management skills.
•     Attention to detail.
•     The ability to function under pressure in a fast-paced environment.
•     The ability to work independently and as part of a team.
•     Good interpersonal relations, with the ability to liaise in a professional and helpful manner across a diverse spectrum of stakeholders.
•     Demonstration of language proficiency to function optimally in the various functionally multilingual environments of the NWU.
