Job description

PURPOSE OF THE POSITION
Coordinating all operations of the Potchefstroom Campus Higher Degrees Helpdesk office. It includes tasks related to enquiries about the life cycle steps that students complete during their studies towards obtaining a degree. It also includes the coordination of the office services and the logistics of the Helpdesk. Other tasks may also be allocated in support of the Coordinator of HDA of the Potchefstroom campus (PC).

KEY RESPONSIBILITIES:
Coordination of daily operations of the Helpdesk:
  • Ensure that the helpdesk is a fully functional, efficient and friendly office that assists all clients with the correct forms, documents and information upon walk-in, telephone or email enquiry.
  • To oversee the correctness, timeliness and professionalism of the responses from the central email of the helpdesk..
 
Helpdesk enquiries:
  • To respond in a professional manner, with a good turnaround time, to all enquiries on syllabus and qualification verifications submitted by alumni or current students.

Finances and assets:
  • To assist the SH of the division with financial transactions regarding the day-to-day operations of the office and with the assets monitoring and updating of the register.

Helpdesk environment:
  • To ensure that the Helpdesk offices and staff are presentable and welcoming and that staff treat customers in a professional manner   
 
Coordination of POPPIA act compliance:
  • To that all staff are informed and implements POPPIA Act regulations that are relevant to office procedures
 
  Coordination of OHS tasks:
  • To ensure that the office complies and implements the latest OHS measures and rules.

Minimum requirements

Qualification/s
  •  Diploma/ Advanced Certificate
 
Recommendation/s
  •  Bachelor’s degree is desirable 
      
Experience/s
Minimum of 2 years’ experience:
  • Computer literacy
  • Communication skills, writing and verbal
  • Knowledge of the Higher Degree Administration (HDA) environment
  • Knowledge of the policies and rules that inform the activities of HDA
  • Knowledge of the structure of the NWU and terminology used in a university environment
  • Knowledge of NWU systems such as VSS, Outlook, and relevant Microsoft office software.
 
KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:
  • Ability to manage staff working under your supervision and operations required per day.
  • Ability to plan, organize and prioritize daily tasks on a personal level and for a team.
  • Ability to work according to rules, processes and compliant to POPPIA Act and NWU policies for Helpdesks
  • Familiarity with the NWU Student system, Outlook, and Microsoft Office software.
  • Appropriate knowledge of the processes and terms used in general in relation to master’s and doctoral studies.
 
KEY BEHAVIOURAL COMPETENCIES:
  • Ability to monitor performance of staff and oversee the services of the Helpdesk.
  • Ability to plan, organise and prioritize daily tasks on a personal level and for a team.
  • Ability to attend to detail and work accurately
  • Ability to stay calm and professional under pressure.
  • Advanced ability to manage time and work demands of a busy office with many enquiries per day
  • Ability to apply the correct knowledge when enquiries are presented by internal or external clients
  • Ability to self -motivate, and lead staff of the Helpdesk towards rendering excellent services to clients..


REMUNERATION
