Job description

PURPOSE OF THE POSITION
To ensure the transfer of all relevant documents per student folder to VSS from the M drive. To sort files according to the file plan for disposal. To work according to a fixed procedure and against checklists to ensure the correctness and completeness of records against deadlines and checklists.

JOB DESCRIPTION
KEY RESPONSIBILITIES:
General tasks
  • To ensure the transfer of all relevant documents from the M drive to VSS from the M drive, supported by checklists and subjected to deadlines
The document transfer and disposal processes
  • To sort files according to required activity as per the guidance of the project leader.
  • To ensure tasks are completed per schedule to reach the deadline of this project.
  • To work according to a fixed procedure and against checklists to ensure the correctness and completeness of records
  • To work diligently and accurately guided by individual checklists per student file on VSS.
Ad hoc tasks
  • As delegated by Coordinators or management of SALA

Minimum requirements

MINIMUM REQUIREMENTS:
  • Grade 12 (NQF 4)
  • A minimum of 1 year of administrative experience
  • An advanced level of computer literacy
  • Knowledge of filing of records, scanning and electronic processing of information
  • Knowledge of general office and administrative tasks

ADDED ADVANTAGE:
  • Degree or Diploma (NQF 6/7)
  • Appropriate knowledge of processes for M and PhD degrees students’ administration
  • Appropriate knowledge of the NWU systems
  • Additional experience in managing electronic information and files

KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:
  • Ability to plan, organise and prioritize daily tasks and keep to deadlines
  • Knowledge of NWU systems such as VSS, Outlook, and Microsoft office software.
  • Ability to deal with work pressure, work on a system and follow prescribed procedures
  • Ability to concentrate even when doing repetitive work
  • Appropriate knowledge of general office and administrative tasks.

KEY BEHAVIOURAL COMPETENCIES:
  • Ability to work accurately, capture data correctly and work at a good pace.
  • Ability to stay calm and professional.
  • Ability to manage time effectively
  • Ability to function in a team
