NORTH-WEST UNIVERSITY (POTCHEFSTROOM CAMPUS) DIVISION: FINANCE AND FACILITIES POSITION NUMBER: P001730 VACANCY: SENIOR ADMINISTRATION ASSISTANT PEROMNES GRADE: P12 EMPLOYMENT TYPE: PERMANENT PURPOSE OF THE POSITION The role of the Senior Administrative Assistant is essential for effective operation in the office of the Manager PC RCS. Preparing and processing documents, answering calls and correspondence, maintaining web pages and Quality Manual, arranging schedules, meetings and events, confirming appointments, minute taking and helping staff were needed.
Job description

Secretarial duties
•     Provide full administration support to the Managers office.
•     Plan meetings and take detailed minutes.
•     Answer phone calls, provide information to callers or connect callers to appropriate people.
•     Schedule appointments and update calendar
•     Make travel arrangements and reservations.
•     Greet and provide general support to visitors.
•     Booking conferences.

Office administration
•     Compose and type regular correspondence, like invitations and informative information.
•     Maintain a filing system.
•     Create spreadsheets and presentations.
•     Keep updates of NWU and department policies.
•     Arrange staff meetings
•     Preparing documents.

Financial
•     Handling of any financial matters in the office.
•     KFS, Service Billings, quotes, and Disbursement vouchers.
•     Processing departmental of invoices.

Occupational Health and Safety (OHS)
•     Administrative duties, preparation of Minutes and Agendas quarterly.
•     Liaise with OHS Officer for the Department.

Web page
•     Administration
•     Update of changes in workforce or upload of contents as supplied.

Minimum requirements

•     National Senior Certificate.
•     Good interpersonal relations.
•     Minimum of 1 – 2 years relevant experience in a similar field.     

ADDED ADVANTAGE
•     A good client-service orientation.    

KEY FUNCTIONAL & TECHNICAL COMPETENCIES:
•     Computer skills in Microsoft Word, Excel, PowerPoint, e-mails, and Internet.
•     Good organization, administration, and financial skills.
•     Good communication (verbal and written skills) English and Afrikaans.
•     Good working experience under stress.
•     Minute taking (typing and distribution of Minutes and Agendas).
•     Organizational skills to manage office space and time, as you will collaborate with clients and colleagues in a fast-paced environment.
•     Strong organizational and time-management skills.
