Job description

PURPOSE OF THE POSITION

Management of all administrative and associated responsibilities of the practice based at Potchefstroom North-West University.

KEY RESPONSIBILITIES:

General office administration

  • Reception duties (answering practice phone, making appointments, taking messages, assisting clients, receiving payments, printing, filing, sending confidential reports) 
  • Electronic communication (sending & receiving e-mails, sending electronic documents for clients)
  • Diary planning (scheduling appointments, managing related diaries)
  • On-line files (scanning & managing online files for team assessments) 
  • Meetings (creating & managing agendas and minutes for Care2Kids team). 
  • Care2Kids projects (assist in preparing materials, reminders to clients/team).

Social Media

  • Design material for social media (webinars, parent talk & other adverts/brochures).
  • Assist with posting of social media content.
  • Run e-mail campaigns for marketing purposes.
  • Create forms for participants
  • Create videos for various projects and/or events
  • Assisting in managing comments and enquiries on social media.
  • Assist in maintaining contact list for marketing purposes.
  • Assist in arranging venues, meetings, logistics and admin responsibilities with webinars, workshops.

Minimum requirements

  • Grade 12 (NQF Level 4).
  • A minimum of two (2) years’ experience working in a medical practice. 

ADDED ADVANTAGES & PREFERENCES:

  • Training in office assistant / secretary / reception / personal assistant with specialisation in office practice, medical practice, communication and information processing (NQF level 4).
  • A minimum of one (1) year experience in ZOHO e-file management program.

KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:

  • Computer literate (Word, Excel, Internet, Outlook, ZOHO). 
  • Bilingual (Proficient in English & at least one other South African language e.g Afrikaans, Tswana, Sotho etc.).
  • Prioritization & punctual completion of tasks.
  • Management skills for organizing & delegating tasks. 
  • Diary coordination.
  • Good organization, control & planning ability. 
  • Records management.
  • Systematic planning & effective time management. 
  • Data capturing.
  • Medical practice management & coordinating schedules.
  • Ability to professionally work with clients/patients and personnel.

  • Professional work ethic with a high level of self-motivation.
  • Good language and communication skills.
  • Integrity and responsible handling of confidential and sensitive information as well as client confidentiality.

REMUNERATION:

The annual total remuneration package will be commensurate with the level of appointment as advertised and in line with the NWU policy guidelines.
