NORTH-WEST UNIVERSITY (VANDERBIJLPARK CAMPUS) FACULTY: HUMANITIES SCHOOL: OF GOVERNMENT STUDIES POSITION NUMBER: V000381 POSITION: ADMINISTRATIVE ASSISTANT PEROMNES GRADE: P13 EMPLOYMENT TYPE: PERMANENT APPOINTMENT PURPOSE OF THE POSITION: An administrative professional to provide proactive administrative solutions in managing all functions and procedures in the School of Government Studies in compliance with the University policies and procedures.
Minimum requirements

MINIMUM REQUIREMENTS:
·        Grade 12 (NQF level 4).
·        A minimum of 2 years’ experience in proactive office administrative.
·        A minimum of 2 years’ experience in secretarial duties.

RECOMMENDATIONS:
·        A diploma (NQF level 5) in Secretarial studies.
·        Certificates in MS package, MIS, project and event management, database administration, record management, and fiscal management.

KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:
·        Computational thinking and ability to prioritise ongoing administrative tasks to achieve due dates and be punctual (day-to-day, medium as well as long-term goals).
·        Adaptation to new workplace ecologies and the use of specific office software or hardware tools: virtual collaboration, MS package, Internet, Oracle, and various applicable systems (MIS), copier and printer, computer and projector, audio equipment, waste, and recycling, including visual and phone systems.
·        Knowledge of faculty processes and demonstrate the language ability to function optimally in the various multilingual environments of the NWU.

BEHAVIOURAL COMPETENCIES:
·        Excellent cross-cultural and social intelligence with a client-service orientation.
·        Manage own time well while working under pressure with the minimum of mistakes.
·        Pay attention to detail, and utilize proper language, grammar, punctuation, spelling, and correct arrangement of information.
·        Perform basic mathematical operations with accuracy.
·        Demonstrate a professional demeanour, handle constructive criticism, and manage difficult personalities.

JOB DESCRIPTION
KEY RESPONSIBILITIES:
1.      Managing day-day financial and administrative functions in the school.
2.      Compiling and communicating essential information within the school and with relevant stakeholders, asking for feedback, as requested.
3.      Organize and coordinate meetings as requested by the Deputy Director and academics.
4.      Manage and control supplementary roles, including ad-hoc appointments, and functional allowance claims in liaison with P&C and finance. Follow and complete the payments to all service providers within budget.
5.      Manage deadlines and responsibilities in line with assessment, scheduling, study guides, and reporting outputs.
6.      Resolve administrative problems and find solutions.
7.      Co-operate with management, OHS officials and colleagues to help everyone meet their legal requirements, whilst upholding and keeping general occupational health and safety standards and practices.
 
REMUNERATION:
 
The annual total remuneration package will be commensurate with the level of appointment as advertised and in line with the NWU policy guidelines.
