Job description
PURPOSE OF THE POSITION
To be responsible for all activities of this project which are: To ensure the transfer of all relevant documents per student folder to VSS from the M drive. To sort files according to the file plan for disposal. To work according to a fixed procedure and against checklists to ensure the correctness and completeness of records against deadlines and checklists. Act as team leader for the project. To ensure correct procedures are followed, deadlines are kept, and reports of progress are submitted regularly to the Section Head of Higher Degree Administration.
JOB DESCRIPTION
KEY RESPONSIBILITIES:
General tasks
- To ensure deadlines are met, reports are submitted to Section head.
- To study and execute the correct procedure to transfer documents to the correct fields on VSS.
The document transfer and disposal processes
- To ensure the transfer of all relevant documents per student file to VSS.
- To sort files according to activity: Disposal, filing as paper-based records, or saving electronically as permanent records or as a record with a disposal date.
- To ensure tasks are completed per schedule to reach the deadline of this project
- To work according to a fixed procedure and against checklists to ensure the correctness and completeness of records
- To file an individual checklist per student file on VSS.
Ad hoc tasks
- As delegated by Coordinators or management of SALA.
Minimum requirements
MINIMUM REQUIREMENTS:
- Grade 12 (NQF 4)
- A minimum of 2 years of administrative experience
- An advanced level of computer literacy
- Knowledge of filing of records, scanning and electronic processing of information
- Knowledge of general office and administrative tasks
- Knowledge of NWU systems, such as VSS
ADDED ADVANTAGE:
- A Degree or Diploma (NQF 7/6)
- Appropriate knowledge of processes in the Higher Degree office and the M drive
- Appropriate knowledge of processes and documents relevant to M and PhD studies
- Additional experience in filing and scanning electronic records.
KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:
- Ability to plan, organise, keep deadlines and report on the progress of the team.
- Knowledge of NWU systems such as VSS, Outlook, and Microsoft office software.
- Ability to deal with work pressure, work on a system and follow a prescribed procedure
- Ability to work in s team as well as the ability to lead a team.
KEY BEHAVIOURAL COMPETENCIES:
- Ability to capture data correctly and work at a good pace.
- Ability to organise tasks, stay calm and professional.
- Ability to manage time effectively.
- Ability to function in a team.
- Ability to concentrate even when doing repetitive work
