NORTH-WEST UNIVERSITY (POTCHEFSTROOM CAMPUS) RECORDS, ARCHIVES AND MUSEUMS (RAM) CORPORATE AND INFORMATION GOVERNANCE SERVICES VACANCY: SENIOR ADMINISTRATIVE ASSISTANT– PERMANENT APPOINTMENT PEROMNES: 12 POSITION NUMBER: N000088 Purpose of the position: 1. Acquiring, processing, and maintaining of a wide range of archival material which documents the history and functions of the NWU for permanent preservation. The archival material includes, but is not limited to, paper or digital collections. 2. Special collections that are of unique value and importance for the NWU for future research.
Job description

Responsibilities:
1.      Administrative support:
  • Appraisal and processing of archival material, museum items and special collections.
  • The administrative support regarding the appraisal and processing of archival and special collections in any format. 
2.      Client services:
  • The administrative support to researchers, both internal and external.
3.      Ad hoc tasks:
  • Responsible for any ad hoc tasks assigned by the Archivist or the Head of the Department.

Minimum requirements

  • Matric/Grade 12
  • Post-matric short-learning programme preferably in Archives and records management
  • 2 year(s) experience of acquisition, processing and preservation of incoming archival records.
  • 2 year(s) experience of acquisition and preservation of incoming museum items.
  • 1-year overall experience in working in an Archive and Museum especially regarding preservation and storage control.
  • 2 year(s) knowledge of migration from analogue to digital with understanding of paper-based records and audio materials.

  • Knowledge of archival functions, processes, and standards.
  • Knowledge of museum functions and processes.
  • Knowledge of museum standards in preservation.
  • Knowledge of office administration and report writing.
  • Computer skills especially Excel, MS word and databases.
  • The physical capability to place a 15kg container on a shelf in the Archives.
  • Knowledge of database management and online records.

  • Must be able to solve work related problems, be on time and work accurately.
  • Client service orientated and good people relationship skills.
  • Excellent organisational and administration skills.
  • Good interpersonal- and communication skills.
  • Demonstration of language proficiency to function optimally in various multilingual environment for the NWU.
