NORTH-WEST UNIVERSITY (POTCHEFSTROOM) SALA OPERATIONS –NWU HIGHER DEGREE ADMINISTRATION VACANCY: HDA PROJECT: ADMINISTRATIVE ASSISTANT PEROMNES: 13 POSITION NUMBER: TEMPORARY POSITION FIXED TERM: FOUR MONTH CONTRACT APPOINTMENT WITHOUT BENEFITS To assist with records management project in the Higher Degree Administration office. Old documents and paper-based records must be re-located, sorted, documents must be extracted and scanned, filed electronically on shared drives and the disposal of out-dated records. The task will involve manual labour as well as computerised activities. To ensure that that the project is completed according to schedule on all three campuses.
Job description

Responsibilities:
  • To assist with the sorting, scanning, electronic filing, and disposal of records of the Higher Degree Administration office according to the NWU File Plan
  • To complete tasks on a schedule as per the project plan
  • To carry boxes and files to the relevant offices for processing, scanning, and filing
  • Report regularly on project tasks and deadlines to Higher Degree Administration Section Head.


Minimum requirements

  • Matric/Grade 12 Qualification
  • NQF level 6 qualification would be an advantage
  • Appropriate knowledge of general office and administrative tasks
  • Knowledge of North-West University systems and procedures will be an advantage
  • Knowledge of the NWU file plan and storeroom logistics will be an advantage

Job Specification: To assist with the sorting, filing, and scanning of student life cycle documents for M Masters and Doctoral students on the Potchefstroom Campus in accordance with the NWU File plan.

Functional/Technical Competencies (Knowledge and Skills)
  • Ability to plan, organise and prioritize daily tasks.
  • Ability to follow a fixed procedure and work on a system
  • Ability to work against a schedule and a deadline
  • An advanced level of computer literacy and generally used computer systems.
  • Ability to perform the physical tasks related to this position
  • Appropriate knowledge of English and terminology used in the university environment.

  • Ability to manage time effectively.
