PURPOSE OF THE POSITION:
• The purpose of the Senior Administrative Assistant in the research focus area, NuMIQ – Quality in Nursing and Midwifery, is to provide general administrative, financial and research specific support to the Director, its researchers and postgraduate students
Job description
KEY RESPONSIBILITIES:
1. General office administration:
· Schedule meetings, compile agendas, minutes and reports, records management, venue preparation for events, report facilities maintenance, national and international travel arrangements, visitor arrangements, arrange events and other ad hoc duties such as courier parcels, correspondence and telephone calls
2. Financial administration:
· Purchase orders, receive goods, payment requests, disbursement vouchers, service billings, financial enquiries from staff, postgraduate students and suppliers.
3. Research and postgraduate student lifecycle administration:
· Compile and update databases, capture research outputs, asset management, ethics record keeping, facilitate calibration of research equipment and instruments, postgraduate student progress reports, postgraduate student questionnaires, research codes of conduct, schedule scientific committee meetings, communicate with prospective and current postgraduate students.
4. Website and social media:
· Update and maintain entity website and other social media platforms and placement of event advertisements
KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:
· Excellent organisational and time-management skills
· Excellent verbal and written communication skills
· Accurate, complete, and timely handling of financial transactions
· Computer literacy
KEY BEHAVIOURAL COMPETENCIES:
· Organised and detail orientated
· Excellent relationship skills
· Ability to work independently as well as part of a team
· Confidentiality and good judgement: protect sensitive information, anticipate or recognise problems and make sound decisions
· Ability to learn quickly and be receptive to training
Minimum requirements
· Grade 12
· Advanced certificate / Three year diploma in Office management / Secretariat
· Valid driver’s license
The annual total remuneration package will be commensurate with the level of appointment as advertised and in line with the NWU policy guidelines.
