Job description

PURPOSE OF THE POSITION

To provide administrative support and to ensure that accurate and valid employee data is entered on the HR system to ensure correct payments made to legitimate recipients

JOB DESCRIPTION

KEY RESPONSIBILITIES:

Pre/post Checking Supervision:

  • Oversee the pre/post- checking of information to ensure accuracy.
  • Oversee the pre/post-checking of calculations to ensure accuracy.
  • Oversee the post-checking of data accuracy on the payroll system.
  • Stay updated on all relevant People & Culture (HR) policies and procedures.
  • Ensure that all P&C related policies and procedures are implemented and adhered to.
  • Ensure timeous monthly handing over to Finance Payroll (for third part payments process).

Payroll Administration supervision:

  • Ensure the effective execution of Payroll Administration Processes to meet monthly pay dates.
  • Oversee the maintenance and capturing of relevant employee data on the HR system.
  • Oversee the administration of benefit items pertaining to appointments.
  • Co-ordinate payroll process and activities.
  • Ensure corrections are done on system after dummy pay run.
  • Ensuring timeous handing over of accurate and completed data to Finance Payroll Section by due date
  • Ensure that correct filing procedures are followed, and filing is done accurately and timeously.

Registry and Records Supervision:

  • Implement policies, procedures and healthy practices related to records management.
  • Enforce good document control by processing, filing and disposing as per the NWU file plan.
  • Maintain document compliance for auditing purposes.

Organisational Structure Administration and Maintenance:

  • Ensure the implementation of changes and accurate maintenance of positions on the oracle system as approved by relevant role players.

HR Administration Supervision:

  • Ensure that relevant HR support is provided to the payroll function as and when required.

Quality assurance:

  • Ensure data integrity of own focus area on the HR system; Adhere to all administration policies in the environment.
  • Ensure P&C applicable processes and procedures is followed.

People Supervision:

  • Ensure effective operation of unit through personnel supervision, and provision of adequate resources and facilities.
  • Values-based behaviour leadership and personal compliance
  • Communicate and interact with internal and external stakeholders.

Execution of ad hoc tasks:

  • Execute ad hoc tasks as assigned by the Manager: HR Shares Services

Minimum requirements

  • A bachelor’s degree / Addvanced Diploma in Human Resources or Finance and Business-related fields (NQF 7).
  • A minimum of 3 years’ supervision and payroll administration experience.
  • A minimum of 5 years' HR/Payroll Administration experience and an Hons Degree or equivalent (NQF8).

KEY FUNCTIONAL AND BEHAVIOURAL COMPETENCIES:

  • Knowledge of HR/Payroll operations principles, practices, philosophies, and procedures.
  • Knowledge of general Human Resources principles, practices, and procedures.
  • Problem solving skills.
  • Interpersonal skills.
  • Ability to work in a team and interact with stakeholders at all levels.

BEHAVIOURAL COMPETENCIES

  • Self-driven.
  • Must be able to interpret and follow guidelines.
  • Must be able to work as part of a team and take direction.
  • Good interpersonal relation with staff, students, and outside companies.
  • Ability to work well under pressure.
  • Accurate financial handling processes.
  • Good work ethics
  • Demonstration of language proficiency to function optimally in the various multilingual environments of the NWU

REMUNERATION

The annual total remuneration package will be commensurate with the level of appointment as advertised and in line with the NWU policy guidelines.
