Job description

PURPOSE OF THE POSITION:
·This position provide support to the multi-media designers and senior instructional designers with the administrative and multimedia assistance. This position operate under general supervision, performs a variety of clerical/administrative duties for one or more organisational entities to assist the smooth running of the administration and office and provide additional multimedia assistance when and where required. This includes the layout and formatting of NWU study guides as well as front desk assistance for walk-in-service for both students and personnel to assist them with services including printing, laminating, formatting, scanning, duplication, and printing.


KEY RESPONSIBILITIES:

1.    Administrative Assistance
·         Assist with administrative tasks such the sourcing quotations.
·         Manage office stationery and supplies
·         Coordinate communication (Telephone, email, MS Teams, virtual conferences as well as face to face meetings).
·         Keep the asset, library and backup registers updated.
·         Maintain and update filing, inventory, mailing, and database systems
·         Maintain work schedules, manage calendars and arrange appointments
·         Provide data for day-to-day operations as well as reporting purposes.
·         Records management.
·         Fault Reporting/ Maintenance requests
·         General administration identified within workflow processes and procedures.
·         Preform stock control, check and update the asset register.

2.  Multimedia Assistance
·         Basic image manipulations, illustrations and photo editing.
·         Populate content into user interfaces.
·         Format the layout (DTP) of NWU study guides
·         Ensure files are print ready or web friendly
·         Perform user and usability testing on media created in the department.
·         Update existing study material.
·         Optimize products for distribution.
·         Sourcing media and resources for projects.
·         Assist with printing, laminating, formatting, scanning etc.
·         Check CID correct usage
·         Assists in the maintenance of the video and sound studio.
·         Production assistant during studio and out of studio video productions in terms of setting up equipment, transporting the equipment to and from locations.

3.   Ad Hoc Tasks and Personal Development
·         Work in cross-functional teams.
·         Complete ad hoc tasks as handed down by line manager.
·         Personal Development

Minimum requirements

  • Grade 12 (NQF Level 4)
  • Diploma in graphic design will be desirable.

EXPERIENCE:
  • 3 years of MS Office (Word, Excel and PowerPoint on an advanced level)
  • 3 years of Knowledge and experience with the Adobe Creative Suite (preferably Photoshop, InDesign and Illustrator)
  • 3 years of excellent administrative and computer skills

ESSENTIAL COMPETENCIES:
  • Computer literate
  • Skilled in the Microsoft Office Suite
  • Good Record keeping skills
  • Knowledge of principles for providing proper customer services
  • Accuracy and attention to detail to deliver accurate products conforming to applicable quality standards
  • Technical skills to operate computers, printers and other technologies used in multimedia development.

  • The ability to work in a team, to receive various sources of feedback for the continuous improvement of multimedia products
  • Good organisational and time-management abilities
  • Must be able to follow instructions and learn new skills

The annual total remuneration package will be commensurate with the level of appointment as advertised and in line with the NWU policy guidelines.
