Job description

PURPOSE OF THE POSITION:

To provide key support for the DHET University Capacity Development Programme (UCDP) and other earmarked grants. Responsible for administration and all monitoring and evaluation (M&E) related activities with regard to the North-West University UCDP programme (University Capacity Development Grant [UCDG], University led-collaborative projects, Nationally-led sub-programmes) funded by DHET.

 

KEY RESPONSIBILITIES:

1.     Monitoring and Evaluation Support:

  • Assist with coordination and implementation of UCDP project logic model (theory of change principles)of UCDG and collaborative projects on short- and medium-term outcomes, outcome indicators, overall impact, and sources of evidence.
  • Strengthen monitoring, inspection, and evaluation procedures of project life cycle – from planning, implementation, data capturing, flow from plan through to relevant data and evidence.
  • Problem analysis - Prepare Issues Log and Risk Log for UCDG projects and collaborative projects
  • Assist the focus area leaders and project members with M&E tools and in supporting them in the use thereof, for tracking against desired project goals.
  • Periodic assessment - Liaise with focus area-, project leaders and stakeholders on CREST annual review of University Capacity Development Plan, on the quality of reporting and make recommendations for further improvement and programme success.
  • M&E assistance for other UCDP and earmarked grants for successful outcomes.
  • Perform other duties as required: financial overview of projects [M&E is limited to spend against implementation].

2.     Report compilation and communication:

  • Provide input, analysed data, information and statistics for monthly, quarterly, annual and other reporting for UCDG/P.
  • Assist UCDP Manager and UCDG ExCo in the preparation of reports on the findings, challenges and lessons learned from project interventions and identifying solutions for successful implementation.
  • Participate in annual project reviews and M&E workshops and assist the UCDG/P management in preparing relevant reports and quality assurance

3.     System and Administrative Support:

  • Administering and provide assistance to project teams and university staff on UCDP-MIS environment.
  • Coordinate UCDG/P reporting templates for reporting purposes to DHET ensure standardisation of reporting across projects.
  • Is expected to come up with suggestions on improved practices.

4.     Ad hoc tasks:

  • Perform ad hoc administrative tasks as assigned by line manager for general functioning of Academic Grants Administration Office.

Minimum requirements

·          A bachelor’s degree or an advance diploma (NQF level 7) in Information Management, Project Management / Programme Management

·          A minimum of 3 years’ experience in an administrative environment as well as project monitoring and evaluation.

KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:

·          Project administration and proven abilities in M&E

·          Computer skills and knowledge of relevant office administration software such as Microsoft 365, Outlook, etc.

·          Principles and processes for providing customer services, including customer needs assessment and appropriate response.

·          Knowledge of applicable systems: university financial system, UCDP-MIS environment, etc.

·          Financial administration and budgeting.

BEHAVIOURAL COMPETENCIES:

·          Confident and efficient in using a range of software packages, including Microsoft 365 (Word, Excel and PowerPoint, Project

·          Perform basic mathematical operations with accuracy.

·          Ability to effectively liaise and communicate with the public, students and colleagues at various levels and from diverse backgrounds. Customer service orientation by responding to clients’ requests promptly and effectively.

·          Ability to organise tasks effectively, meet deadlines and delegate to team members where applicable.

·          Accuracy and attention to detail to deliver accurate products conforming to applicable quality standards.

·          Ability to work independently and  as part of a team.

·          Discretion when handling confidential and sensitive information.

·          Written language ability with respect to spelling, grammar and punctuation to produce letters and reports.

 

REMUNERATION:

The annual total remuneration package will be commensurate with the level of appointment as advertised and in line with the NWU policy guidelines.
