Job description

PURPOSE OF THE POSITION:
To enhance and improve discoverability and accessibility of library resources by ensuring that: All information resources received from acquisitions are recorded; All information resource additions are added as Local Holdings Records on the correct WMS bibliographic records; All library material is technically prepared and forwarded to all relevant libraries.

KEY RESPONSIBILITIES:
1.    Cataloguing and Classification of information resources:
· Keep records of all Information Resources received from the Acquisitions section.
· Search and identify correct bibliographic records on WMS for the addition of received acquisitions.
· Create Local Holdings records for additions of acquired and donated information resources.
· Copy cataloguing of received information resources according to international bibliographic standards.
2.    Technical preparation of Information Resources:
· Create spine labels, add date slips, ownership labels and magnetic strips to all information resources received from Acquisitions and the Bindery.
· Distribute and keep record of all prepared information resources to the relevant libraries.
· Keep record of printed theses and dissertations received from the Higher Degree Office.
· Distribute printed theses and dissertations to the cataloguers.
· Request Graduation programmes from the Higher Degree Office.
· Ensure Graduation Programmes are available to the cataloguers.
3.    Bindery:
· Prepare relevant items for binding according to instructions.
· Keep record of items sent to and received back from Bindery.
· Liaise with Bindery staff.
4.    Administration:
· Assist with filing of the journal loose leaf publications
· Physical preparation of books in Acquisitions and Cataloguing
· Weeding of old records and files
· Provide administrative assistance with the handling of invoices
· Prepare and send invoices for payment
· Finalise invoices and distribute costs between campus libraries or shared journal and database subscriptions
· Administrative support to the Information Resources Section.
5.    Call number changes:
· Prepare all spine label changes as requested by Subject and Branch librarians.
· Identify and collect information resources of which the call numbers must be changed.
6.    Miscellaneous tasks:
· Attend related workshops and training opportunities.
· Responsible for keeping the procedure manual up to date.
· Ad hoc tasks as requested by the Manager.
· Report monthly on activities.

Minimum requirements

MINIMUM REQUIREMENTS:
·         Grade 12 (NQF level 4).
·         An advanced certificate / diploma in Library and Information Science (NQF 5).

EXPERIENCE:
·         A minimum of 2 years’ experience in a library environment.

RECOMMENDATION:
·         An advanced diploma (NQF level 6) or a bachelor’s degree (NQF level 7) in Library and Information Science.

KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:
·         Knowledge of Resources Description Access (RDA) and Anglo-American Cataloguing Rules (AACR2) for the bibliographic description of information resources.
·         Knowledge of bibliographic tools.
·         Computer skills and knowledge of Windows, Microsoft Word, Excel, Outlook, and the Internet.
·         Be able to master the instructions regarding the technical preparation of items.
·         Be able to master the Cataloguing Module of a Computerized Library System.

BEHAVIOURAL COMPETENCIES:
·         Good communication skills in English.
·         Must be able to function independently.
·         High accuracy
·         Good time management, punctuality, and organisational skills.
· Good interpersonal relations and be able to function as part of team.

REMUNERATION:
The annual total remuneration package will be commensurate with the level of appointment as advertised and in line with the NWU policy guidelines.
