Job description

PURPOSE OF THE POSITION
Management and accountability of the hosted project from the National Electronic Media Institute of South Africa (NEMISA) to the Faculty of Humanities.

KEY RESPONSIBILITIES: 
Management:
  • Utilise sound project management methodologies to manage projects assigned to the Incumbent.
  • Implement and manage project activities and budget as per contractual agreement.
  • Draft project activities, milestones, deliverables and associated budget and performance criteria based on a specified project aims and objects.
  • Monitor and record progress made towards achieving project milestones.
  • Ensure all project-related documents are appropriately archived in the university’s repository.
  • Identify and manage risks timeously to overcome potential hurdles that may impact project delivery time, quality and/or budget.
  • Compile necessary projects reports as required and ensure compliance with NEMISA and the university reporting requirements and deadlines.
  • Provide support to the Project Support Team for the purpose of carrying out their tasks.
  • Adhere to all university policies/ processes/ systems/ guidelines in the course of executing project activities.
  • Contribute, from time to time, to the development of new policies processes/ systems/ guidelines that supports more effective and efficient project management and implementation.
Financial Management:
  • Utilise sound financial management methodologies to draft, manage and reconcile project budgets.
  • Prepare or revise budgets, where required, in line with funder’s and NWU’s budgeting guidelines.
  • Adhere to NWU’s and funder’s financial and procurement guidelines/ policies/ processes for budgeting, payments and reporting.
  • Prepare internal project budgets in consultation with the NWU financial planning team which correlates to the approved budget submitted to funder.
  • Work closely with the NWU financial planner to reconcile the project budget and prepare financial reports, including interest calculations, where required.
  • Process project payments and secure and archive all supporting documents (e.g. SLA, Timesheets, invoice, MoU, etc).
  • Review and provide monthly project management accounts and raise discrepancies immediately with the NWU Financial Planner.
Stakeholder Management & Communications:
  • Effectively communicate and manage relationships with external and internal project stakeholders e.g. funder, project implementation partners and external consultants, etc.
  • Identify and facilitate contracting of external service providers as necessary, following appropriate procurement processes as well as monitor delivery and payments.
  • Schedule project steering meetings and/or progress meetings with external and internal stakeholders as required, set meeting agenda’s and take meeting notes.
  • Liaise with the NEMISA National COLAB Director, operations staff to coordinate activities /solicit input and technical advice.
  • Provide regular progress updates to the relevant NWU CoLab portfolios on project activities.
  • Ensure operational support required for project implementation is communicated to Operations staff timeously.
Marketing & Knowledge Dissemination:
  • Provide suitable content for the NWU CoLab website and social media platforms for knowledge sharing of programmes/project outcomes to internal and external stakeholders.
  • Contribute to the NWU CoLab newsletter and encourage project partners to share outputs and success stories, in line with funders’ requirements.
  • Identify other avenues of disseminating project outcomes/ successes and promoting NWU CoLab more broadly.

Minimum requirements

  • An Advanced Certificate (NQF level 5) in Management/Governance.
  • A minimum of one (1) year’ management and governance experience.
  • A minimum of one (1) year’ financial administration experience.
DESIRABLE
  • A minimum of two (2) years’ work experience in management and governance.
KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:
  • Within higher education.
  • Within industry related environments.
  • Sound understanding of the administration.

REMUNERATION
