Job description

The MUST Deep Learning research group performs basic and applied research in deep learning, the set of machine learning tools that is currently driving innovation in artificial intelligence (AI). It is a student-centred environment where young researchers are nurtured and challenged to produce research results that matter. 

MUST forms part of the Faculty of Engineering at North-West University (NWU), South Africa. It is a collaborative environment, linking in with national institutes such as the South African Centre for Artificial Intelligence Research (CAIR), the National Institute for Theoretical and Computational Sciences (NITheCS), the South African National Space Agency (SANSA) and other collaborating researchers.

PURPOSE OF THE POSITION

To assist the Director in ensuring that the MUST research niche area functions smoothly, creating an environment that is conducive towards producing world-class research and researchers. The MUST Administration Officer supports the Director in planning and coordinating the operational aspects of the group, provides operational and administrative support to the Director, and implements agreed upon projects
 

JOB DESCRIPTION

KEY RESPONSIBILITIES:

External Communication

  • Act as first point of contact between MUST and external stakeholders and assist in maintaining MUST’s public profile (websites, social media, reporting, publicity)

Internal (NWU Communication)

  • Act as a first point of contact between MUST and internal stakeholders, interfacing with the broader NWU on administrative and operational matters on behalf of the research group. This typically includes student & intern administration, research output administration, contract administration and records management.

Internal (MUST) Coordination

  • Assist in coordinating group tasks and the MUST Click Up (internal work assignment) system. This system allocates administrative and operational tasks to all members in the group, including the students.       

Human Resources

  • Assist in coordinating key HR processes internal to MUST, including recruitment, appointments, induction, leave administration and performance management.

Facilities and Support Infrastructure

  • Assist in coordinating the group’s infrastructure requirements. This includes the two student labs in Potchefstroom, the satellite office in Hermanus and the required equipment. Act as asset controller.

Events and Logistics

  • From time to time, execute agreed upon operational projects. These tend to be ad hoc but examples are arranging a workshop or research visit, facilitating an office move or running a survey on the status of MUST alumni.

Minimum requirements

  • Grade 12 or equivalent (NQF 4).
  • A Diploma (NQF 6).
  • A minimum of 2 years’ administration experience.
  • A minimum of 2 years’ coordination and communication experience
  • A valid Code EB driver’s license.

ADDED ADVANTAGE:

  • A Bachelor’s degree (NQF 7)
  • A minimum of 2 years’ experience in research office management.

KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:

  • Organisational effectiveness: principles and practices.
  • Strong computer skills (spreadsheets, use of bespoke applications).
  • Office management (managing documents, assets, diaries, etc).

KEY BEHAVIOURAL COMPETENCIES:

  • Outstanding English communication skills: oral and written.
  • Strong planning and organisational skills.
  • Attention to detail.
  • Excellent work ethic.
  • Proactiveness.

REMUNERATION

The annual total remuneration package will be commensurate with the level of appointment as advertised and in line with the NWU policy guidelines.
