Job description

PURPOSE OF THE POSITION
Provide administrative assistance in the SALA environment.
KEY RESPONSIBILITIES:
Applications
  • Control application procedures and whether everything is done according to the A rules of the university.
  •  Pass on and distribute all new documents.
  • Record data, process data and regular reporting to Line Manager.
  • Control whether all documents and procedures comply with NWU record management plan.
  • Make sure target dates are attained.
  • Control and execute all registrations.
  •  Escalating applications to programme leader for approval.
  • Credit applications
Registrations
  • Deal with UODL e-mail applications and e-mail registrations.
  • Control that applications are captured.
  • Sending of registration forms to students.
  • Send forms to finances to open an account.
  • Registrations – Capturing of modules and centres.
  • Capture official decisions.
  • Feedback to students.
  • Feedback and report to department manager
  • Control that levies on student accounts are correct.
  •  Liaise with finance department.
  • Student fees – control payments and levies.
  •  Do curriculum control.
  • Download statistics.
Student Records
  • Centre amendments.
  • Cancelations and freeze of studies.
  • Amendments of modules.
  • Module recognitions.
  • Capturing of senate decisions.
  • Curriculum control.
  • Terminations.
  • Warning Letters to students.
  • Continuously update letters and information to students, avail these to all role-players.
Student Inquiries
  • Telephonic inquiries via inbound calls.
  • Email inquiries via inbound emails.
  • Solving issues and inquiries.
  • Academic record, application, registration, proof of registration, finance inquiries.
  • Sending of relevant forms.
  • Assisting students with all inquiries.
  • Give quick and friendly feedback.
  • Accurate and thorough responses to students.
Filling
  • Filing of files.
  • Control of files and handing over to finances.
  • Filing documents.
  • Record Management.
Assisting other offices
  • Assist other offices in need.
  • Verifying assignments.
  • Assisting with help desk.
  • eFundi assistance.

Minimum requirements

MINIMUM REQUIREMENTS:
  • Grade 12 (NQF level 4).
  • A Diploma/Advance Certificate (NQF level 6).
  •  A minimum of 2 years’ administration and client services experience.
  • A minimum of 2 years’ experience in working with university systems e.g. VSS.
FUNCTIONAL/TECHNICAL COMPETENCIES (KNOWLEDGE AND SKILLS):
  • University systems like Varsite and Groupwise.
  • Liaise with students.
  • MS Office (Word, Excel and PowerPoint).
  • Ability to work with numbers and inquiries.
  • Ability to plan and problem solving is essential.
  • Ability to organise and operate confidential.
BEHAVIOURAL COMPETENCIES:
  • Ability to work under pressure, independent, in teams and work while being supervised.
  • Demonstrate language abilities and should be bilingual.
  • Good people skills, communication skills and a positive client service attitude
  • Computer literate in MS Office (Word, Excel, PowerPoint) VSS and Groupwise
REMUNERATION
