Job description

1.    Support function
  • Support to school by managing administration for payments and assets, including contracts, correspondence and emails. Arrange and coordinate marking and invigilation support. Support with selections and student applications. Venue bookings (IWMS), provide technical support in venues. Capture of marks on VSS.
 
2.    Record management
  • Record management according to official policy, module files, store rooms and record management in the school (including archiving).
 
3.    Student Support
  • Support to school to manage HPCSA forms and administration. Deal with student enquiries and provide support. Provide support with VSS.
 
4.    Asset management
  • Responsible for the correctness and completeness of the asset records Asset Representative, management of assets according to policy.

5.    Ad hoc
  • Ad hoc tasks such as arranging functions, open days, yearend function and support for meetings. Marketing and brand management. Ad hoc support to school as requested.

Minimum requirements

  • Senior Certificate (Matric) (NQF Level 4)
  • Post-graduate qualification in Business administration/ Office administration/ HR is desirable
 
Experience:
  • 5 years’ extensive experience in office administration as essential. Knowledge and experience with asset management, record management and working on VSS, Kuali.
  • Experience working with academic staff and students.
  • 2 years’ experience in administration of HPCSA, SABPP and SIOPSA documents and archives.
  • 2 years’ extensive technical experience in working with virtual platforms such as Zoom and MS Teams; Nextcloud, IWMS. Excel and with Google forms.
 
KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:
  • Extensive knowledge of office administration, finances, asset control and management.
  • Suitable knowledge on virtual platforms.
  • Suitable knowledge on computer skills using programmes such as Excel, Word, Google forms.
 
KEY BEHAVIOURAL COMPETENCIES:
  • Accountability, efficiency, loyalty, respect, effective time management; dependable, innovation, team work, high energy.
