Job description
PURPOSE OF THE POSITION:
The Administrative Assistant will perform a variety of administrative assistance for Q&APP Senior Curriculum Specialists with regard to specific projects that include the annual SAQA reregistration of qualifications, the current PQM review Project and other ad hoc administrative tasks.
KEY RESPONSIBILITIES:
1. Project administration and support:
· Assisting the project leaders with administrative tasks within the projects.
· Compute, record, and evaluate data and other information, such as records or reports.
· Attend to general enquiries from staff related to projects in Q&APP, e.g., the SAQA project.
· Responsible for administrating and completing spreadsheets, lists, formatting, and report compilation.
· Resolve administrative problems by coordinating preparation of reports, analysing data, and identifying solutions at a basic level.
· Distribute documentation to school/faculty/organisation unit and other relevant people, and track these.
· Suggest improved SAQA related administrative practices and transfer knowledge to administrative staff within the department.
· Resolve problems/discrepancies and communicate with a variety of administrative and professional employees within the university.
2. Records Management:
· Responsible for coordinating data record systems.
· Support the project leaders in the design and maintenance of a file structure according to the NWU record management policies.
3. Office administration and support:
· Office administrative support and logistics.
· Diary management and meeting administration of Q&APP projects.
· Filing/records management.
· Regular reports to project leader.
· Attend and contribute to meetings.
· Manage personal effectiveness, wholeness, and development.
4. Ad hoc tasks:
· Ad hoc administrative duties as indicated by Q&APP team and project leaders.
Minimum requirements
MINIMUM REQUIREMENTS:
· Grade 12 (NQF level 4)
EXPERIENCE:
· A minimum of 1 year experience within higher education.
· A minimum of 1 year administrative experience including office administration, schedule management and filling and records management.
RECOMMENDATION:
· Any relevant bachelor’s degree (NQF level 7)
KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:
· Good knowledge and experience of administrative processes.
· Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, office procedures and terminology.
· Knowledge and skills with regards to the use of specific office software programs.
· Knowledge of principles for providing customer and personal services.
· Knowledge of the structure and content of the language including the meaning and spelling of words, rules of composition and grammar.
· Effective verbal communication skills, written and spoken language.
· Effective listening skills.
· Teamwork skills: supportive, respectful, collaborative, and committed.
· Proficiency with Microsoft Excel, PowerPoint, Word, and Outlook.

REMUNERATION:
The annual total remuneration package will be commensurate with the level of appointment as advertised and in line with the NWU policy guidelines.
