Job description
KEY RESPONSIBILITIES:
1. Financial Administration and Logistics support.
· Provide input to entity budget regarding improved efficiency and cost savings.
· Perform financial administration for the entity and specified projects.
· Administrate honorariums, functional allowances, and ad hoc payment forms.
· Perform procurement tasks as required for the entity's successful functioning, including physical office administration, accommodation during campus visits of school staff, organisation of equipment for meetings & functions, etc.
2. Research Support
· Provide assistance to identify accredited journals and conferences.
· Communicate calls for conferences, funding opportunities and seminars to entity members.
· Maintain an NWU TELIT-SA site according to guidelines and assist with Faculty forms for ethics applications, conferences and funding.
· Administrate extraordinary appointment documentation for nominations and reappointments.
3. Ad hoc tasks.
· Perform ad hoc administrative tasks as assigned by the director for the general functioning of the entity.
· Administrate projects, conferences and seminars as organised under the guidance of the director.
· Administer and complete the invoicing process of the conference(s).
· Develop and distribute marketing material for internal and external workshops, seminars and conferences.
4. Stakeholder relations management.
· Facilitate effective communication between internal team members and external stakeholders, including researchers, industry professionals, and conference participants.
· Respond promptly to inquiries, providing detailed and accurate information about meetings/conferences/seminars and related activities.
· Maintain an updated database of conference stakeholders, including contact information, preferences, and special requirements.
Minimum requirements
· Bachelor's Degree/Advanced Diploma in administration (NQF 7)
· Minimum of three (3) years of proven administration experience.
ADDED ADVANTAGES/PREFERENCES:
· Knowledge of the NWU environment will be an added advantage.
KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:
· Demonstrate proficiency in computer skills and knowledge of relevant office administration software, such as MS Office Suite, Outlook, SharePoint, Excel, Word, etc.
· Demonstrate knowledge of administrative procedures and systems such as word processing, managing files and records, and using applicable systems: Student system, financial system, etc.
· Skill in principles and processes for managing external and internal stakeholder relationships.
· Demonstrate knowledge and skill in the design of forms and other communication to internal and external stakeholders according to NWU guidelines.
· Demonstrate knowledge of the structure and content of the appropriate language, including the meaning and spelling of words, rules of composition, and grammar.
· Proficiency in Canva or similar design software would be an advantage.
· Have proven ability to interact with modern digital technologies.
· Able to work independently.
KEY BEHAVIOURAL COMPETENCIES:
· The ideal candidate for the Administrative Assistant position within the TELIT-SA research unit should exhibit strong behavioural competencies to thrive in a dynamic and collaborative environment.
· Excellent organisational skills are essential, as the role involves managing schedules, coordinating meetings, and ensuring seamless communication within the entity across all three NWU campuses.
The annual total remuneration package will be commensurate with the advertised appointment level and in line with the NWU policy guidelines.
