Job description

PURPOSE OF THE POSITION
The position is important in support of higher SALA processes under the line management control of the Deputy Dean Teaching and Learning and the Senior Faculty Administrator (SALA). The responsible staff member in this position is responsible for performing important administrative and coordinating functions with the focus on quality assurance of essential SALA and Faculty processes. Also provides specialized administrative support to Deputy Dean Teaching and Learning in the Faculty.

JOB DESCRIPTION
KEY RESPONSIBILITIES:
Programme Administration
Support to Faculty Administrator as the Programme Monitoring Committee (PMC) coordinator and member.
Support academic staff with applications for amendments to existing qualifications / programmes / modules, etc.
Supports Faculty Administrator and Q&APP curriculum specialist in planning and coordinating the programme development processes and projects. 
Compilation of reports as requested by Deputy Dean Teaching and Learning and Senior Faculty Administrator 
Academic Rules and Faculty Rules
  • Coordinates updating and approval processes of Faculty Rules and Addendum in support of the Faculty Administrator. Ensures timelines are met for finalisation for approval at TLC, FB and Senate.
  • Ensures quality through compliance with General Academic Rules and engagement with critical role players (including Higher Degrees administration). Ensure that the necessary adjustments are communicated to all role players.
Yearbooks and Attendance of meetings
  • Coordinates updating and approval processes of Faculty Yearbooks in support of the Faculty Administrator. Ensure timelines are met for finalisation for approval at TLC, FB and SCAS.
  • Ensure quality through engagement with critical role players (including Higher Degrees administration). Ensure that final approvals are communicated to and implemented by all role players.
  • Represents Senior Faculty Administrator in meetings on an ad hoc basis as required.
Quality Assurance: Enrolment Planning, Strategic Information, Marketing Material
  • Supports Senior Faculty Administrator with enrolment information on planning for programme implementation and phasing out of programmes (contact and distance).
  • Support Senior Faculty Administrator with the compilation and updating of the faculty structure / organogram. Develops/maintains a strategic information database pertaining to qualification/programme/module lists, progression requirements, etc. Manages /updates the database of external approvals, all forms, policies and procedure documents applicable to qualification/programme/module development.
  • Acts as faculty representative for coordinating the development of contact and distance marketing material in liaison with recruitment staff, senior administrative officers in schools, programme leaders and school directors.
 Administrative Support to Deputy Dean Teaching & Learning and Senior Faculty Administrator.
  • Supports with compilation/updating of faculty's guideline documents related to teaching and learning.
  • Supports with requested teaching and learning information. Assists with updating the FITLP and finalising Teaching and Learning reports.
  • Support with compilation/updating of faculty's Performance Agreement form.
  • Support with projects undertaken in the office of the Deputy Dean.
  • Supports Senior Faculty Administrator with any ad hoc requests.

Minimum requirements

MINIMUM REQUIREMENTS:
  • Grade 12 (NQF level 4)
  • A bachelor’s degree in Administration or related (NQF level 7)
  • A minimum of 3 years’ experience in Undergraduate/ Post-graduate administration.
  • A minimum of 3 years’ experience in program management and coordination, reporting writing and reporting within a faculty environment.         
FUNCTIONAL / TECHNICAL COMPETENCIES (KNOWLEDGE AND SKILLS)
  • Computer Literacy in MS Office
  • Knowledgeable in use of online/cloud platforms and meeting administration.
  • Ability to function independently and as part of a team.
  • Proven knowledge of SALA functions within undergraduate/post-graduate context.
  • Knowledge of guiding policies pertaining to programme development.
BEHAVIOURAL COMPETENCIES
  •  Ethic of care, accountability, responsibility, transparency, justice, honesty, trustworthiness/reliability, adhering to ethical principles and professional standards, and respect (people and the environment).
  • Ability to communicate on a professional level with academic management colleagues and other role players within Faculty and SALA environment self-disciplined and performance driven, punctual in meeting target dates.
  • Excellent verbal and written communication skills. Demonstration of language proficiency in order to function optimally in the various functionally multilingual environments of the NWU.
  • Ability to maintain a professional attitude under pressure.
