Job description
PURPOSE OF THE POSITION:
This is a new position within the University Capacity Development Plan and more specifically in the Development of Advanced Researchers and Research Programmes project (UCDG 2024 – 2026, Project 7).
The UCDG-funded staff member will be appointed in the Research Support Department to contribute towards creating an enabling environment for the enhancement of excellence and visibility of researchers and research programmes.
Apart from general research development activities, this appointee will be responsible for assisting with the implementation of the UCDG project: Development of advanced researchers and research programmes, with a specific focus on the administration of researcher development and research output information as well as UCDG-related finances.
KEY RESPONSIBILITIES:
1. Administrative Support in the Research Output information management programme:
- Assist with the updates of the Org structure and staff/student data/profiles on the Research Output Information Management system (InfoEd).
- Online support to admin staff during capturing season and assist with related queries.
- Assist with InfoEd system upgrade planning and testing.
- Assist with the review of captured research output records, books and conference proceedings for submission to the Internal Evaluation Panel and external audit.
- Assist with the preparation of the final report of research outputs to DHET
- Assist with reporting and statistics for research outputs to internal stakeholders.
- Compile and distribute research output incentive award letters and honorarium claim forms to researchers.
- Processing of honorarium claims and assisting with related queries.
- Contributing to the development of programme documentation, plans and reports.
- Contribute to the monthly, quarterly, mid-year and annual reports to the Director RS and UCDG/other stakeholders.
- Attend scheduled meetings as per RSD internal operational planning.
2. Admin support and Financial administration in UCDG Projects:
- Assist with workshops/training sessions
- Contributing to the development of programme documentation, interventions, plans and reports.
- Responsible for UCDG and Research Development financial transactions on the KFS system and support with monthly reconciliations
- Assist UCDG project coordinator with determining the impact / research output related to UCDG activities.
- Contribute to the monthly, quarterly, mid-year and annual reports to the Director RS and UCDG/other stakeholders.
- Attend scheduled meetings as per RSD internal operational planning.
3. Ad hoc tasks:
- Perform ad hoc administrative tasks as assigned by the superior for the general functioning of the organisation unit.
Minimum requirements
MINIMUM REQUIREMENTS:
· A bachelor's degree (NQF level 7) in any field of study.
· A minimum of 2 years’ experience in higher education sector.
· A minimum of 1 year’ experience in research support environment.
RECOMMENDATION:
· An honour’s degree (NQF level 8) in any field of study.
· Membership with the Southern African Research & Innovation Management Association (SARIMA).
KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:
· Advanced computer skills or experience working with various data management and quality management software programs
· Should be able to collect and process data into usable reports making use of Excel.
· Ability to work under pressure and meet deadlines, prioritise ongoing administrative tasks and manage own time well.
· Experience in planning and facilitating workshops for researchers online or hybrid.
· Good interpersonal and communication skills (oral and written).
· Structured with attention to detail, and accuracy in data handling and record management.
· Sufficient level of financial background, planning and budgeting skills.
BEHAVIOURAL COMPETENCIES:
· Ability to work independently or as part of a team.
· Analytical, planning, and organizational skills with an ability to manage competing demands.
· Discretion when handling confidential and sensitive information.
· Experience interacting with stakeholders on various levels.
REMUNERATION:
The annual total remuneration package will be commensurate with the level of appointment as advertised and in line with the NWU policy guidelines.
