Job description

PURPOSE OF THE POSITION:

The purpose of this position is to provide administrative and technical support to the Director of the Centre for African Languages Teaching in the start-up, establishment, and day-to-day management of the Centre.

KEY RESPONSIBILITIES:

Responsibility for meeting administration and documentation

  • Records Management
  • Compiling Agenda
  • Organising Addenda
  • Minute taking.
  • Compiling task list
  • Taking attendance and record keeping of attendance
  • Compiling of personalia applicable to meeting
  • Language and technical editing of meeting documentation

Record keeping of CALT research and training outputs.

  • Compile cumulative report.
  • Keep record of research outputs in CALT
  • Liaise with UCE on matters related to the development and presentation of short learning programs.

Preparation and organisation of all meetings, workshops, colloquiums, discourses, article retreats, strategic planning sessions and end of year functions.

  • Liaison duties and communication with all relevant role players
  • Liaise with secretary and financial officers to schedule and fund research related endeavours.
  • Organise venues and refreshments through secretary and financial officers.
  • Communication with members about all administrative issues (e.g. calendar, scheduling of meetings)
  • Take pictures of events for publishing on web sit
  • Responsible for receiving international and national guests (accommodation, travel, flights and programme
  • Compilation of letters 
  • Handling of enquiries
  • Taking and keeping record of attendance.

Assist in compiling annual progress report of CALT

  • Initiate planning meeting
  • Responsible for gathering documents and combining into one document.
  • Keep record of important information of the entity throughout the year
  • Responsible for technical quality and accuracy of document
  • Compiling of addendums for research outputs, staff and student information, project information and funding organisations
  • Compile research reports in collaboration with the Research Director
  • Establish an administrative database to keep record of all research related data.
  • Language and technical editing of formal documentation

Financial Administration

  • Financial planning and management.
  • Capture transactions on KFS.

Minimum requirements

  • A post-matric qualification or Diploma (NQF Level 6) in administration, management, marketing, human relations or any relevant area.
  • A minimum of one (1) year office administration and management experience.

KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:

  • Proven operational knowledge of the management and operations in an office, preferably at a Higher Education level.
  • Excellent writing and oral communication skills, at acceptable standard to function effectively within Higher Education institution.
  • Demonstration of language proficiency in order to function optimally in the various multilingual environments of the NWU.
  • Must be able to type documentation, e.g. minutes, agendas, letters correctly and at acceptable speed.
  • Knowledge of basic principles for providing efficient student and customer service.
  • Experience and knowledge of meetings administration.
  • Strong problem solving, analytical and abstract reasoning skills.
  • Ability to work independently or as part of a team, function effectively under pressure.
  • Good interpersonal relations and positive client-service orientation.
  • Be able to work under pressure with strict timelines.
