Job description

PURPOSE OF THE POSITION
To assist in effective alignment with the NWU strategy regarding graduation ceremonies on the NWU, and to ensure compliance with relevant protocol and recording principles relevant to ceremonies and graduations.
KEY RESPONSIBILITIES:
Administering the core activities related to graduation ceremonies
  • Assisting is all administrative activities at the Ceremonies office of the Potchefstroom campus, including:
  • Alignment of ceremonies on three campuses;
  • Preparation of documentation and records;
  • Preparation of venues;
  • Correspondence with role players;
  • Administrating an optimal process dealing with student and other role players in facilitating graduation ceremonies;
  • Assisting in preparations of ceremonies;
  • Assisting in preparation of graduation booklets;
  • Assisting in all logistical process pertaining to graduations and ceremonies
 Administering the involvement of all role players pertinent to graduation ceremonies
  • Administrative activities within the ceremonies office in facilitating and preparing graduation ceremonies in cooperation with the relevant coordinator.
  • Assistance with liaising with the relevant role players in effecting optimal service to students and stakeholders to graduation ceremonies.
  • Overseeing stock taking
  • Administering deadlines and responsibilities of all parties regarding graduation ceremonies
Ad hoc tasks in agreement with the Line manager
  • Responsible for the completion of Ad hoc tasks as requested from time to time by line management

Minimum requirements

MINIMUM REQUIREMENTS:
  • Grade 12 (NQF 4).
  • Adequate knowledge of the graduation ceremonies processes at the NWU.
RECOMMENDATIONS:
  • A post-matric qualification (NQF 5)
  •  A minimum of 2 years’ academic administrative experience in a tertiary institution.
FUNCTIONAL/TECHNICAL COMPETENCIES (KNOWLEDGE AND SKILLS):
  • Proven operational knowledge of the management and operations in regard of general academic administration at a higher education level.
  • Excellent written and oral communication skills.
  • Demonstration of language proficiency in order to function optimally in the various multilingual environments of the NWU.
  • Knowledge and understanding of student systems and student life processes
  • Relevant computer skills
BEHAVIOURAL COMPETENCIES:
  • High level of integrity and dependability with a strong sense of urgency and result-orientated
  • Strong problem solving, analytical and abstract reasoning skills.
  • Time management
  • Ability to maintain confidentiality 
REMUNERATION:
