Job description
PURPOSE OF THE POSITION.
To provide administrative support and to ensure that accurate and valid employee data is maintained on the P&C system.
KEY RESPONSIBILITIES:
1. Appointment Administration
- Maintain and capture relevant employee data on the P&C system.
- Biographical information.
- Qualifications.
- Probation Periods.
- Postal and residential addresses.
- Maintaining Supplementary Roles.
2. Payroll Administration
- Administer benefit items pertaining to appointments:
- Link banking details for Cash Focus and SARS.
- Process extra information for equity, skills and UIF.
- Process the data on the elements (pension fund, group, disability, trauma, spouse group, Service bonus and Long Service Awards and Pensionable Salary.) (Permanent and Fixed terms)
- Process Car allowances for senior functionary. Travel claims. Miscellaneous deductions. Professional allowances, NRF grading, House parents, Director Allowances, merit bonus, overtime and foreigner payments.
- Costing on the element to the general ledger.
- Process Medical Aid transactions.
- Process termination of employment transactions and leave elements.
- Process Salary Advances.
- Amend packages: promotions and changing of grades.
- Reconciliation of elements.
3. General Administration
- Ensure that all documentation is forwarded for filling and record keeping purposes.
4. Ad Hoc Pre - Check Quality Assurance
- Check accuracy of information on submitted Payroll documentation.
- Check accuracy of calculations on submitted Payroll documentation.
- Confirm adherence to relevant policies and procedures on submitted documentation.
- Confirm that all relevant supporting documentation is submitted.
- Liaise with HR personnel to make corrections of inaccurate information or to source outstanding documentation.
5. Ad Hoc Post - Check Quality Assurance
- Perform any ad-hoc assignments as may be deemed necessary.
- Checking of total remuneration packages for new employees.
- Check calculations for resignation and retirement benefits.
- Check salary advances i.e., earnings, UIF, PAYE, etc.
- Signing off data input on Oracle against source document.
- Export and interpret reports to ensure correctness and completeness of data processed on Oracle.
- Check additional earnings such as overtime, travel claims etc.
- Ensuring that mass uploads (WEB ADI) are timeous and correct.
- Receive and oversee the timeous and correct capturing of garnishee orders and SARS penalties.
- To rectify incorrect costing string allocations.
- Timeous monthly handing over to Finance Payroll.
6. Quality Assurance
- Ensure data integrity of own focus area on the P&C system; Adhere to all administration policies in the environment
- Ensure P&C applicable processes and procedures is followed
Minimum requirements
- Grade 12 (NQF level 4).
- A Diploma in HR or equivalent.
- A minimum of two (2) years’ relevant payroll administration experience.
KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:
- Knowledge of general P&C administration, P&C Processes and Procedures, NWU Conditions of Service and P&C related legislation.
- In depth knowledge of HR operations as it applies to the organisational context.
- Knowledge of HR operations principles, practices, philosophies, and procedures.
- Knowledge of general Human Resources principles, practices, and procedures.
- Strategic thinking.
- Analytical thinking.
- Excellent verbal and written communication skills.
