Job description

PURPOSE OF THE POSITION:
To maintain the library collection through the administration of long outstanding or lost library items and the reconciliation of collected fees and the management of library access.
·         Data clearing and reminders.
·         Handling of Loan services activities & cash register
·         General loan services duties
·         Library access
·         Conducting basic information literacy instruction

KEY RESPONSIBILITIES:
1.    Administration and maintenance of the Billing System:
  • Daily, weekly, and monthly checks on outstanding library items according to item bill status.
  • Create lists of overdue books for follow-up and before the billing process begins.
  • Checking the correctness of contact information of users with long outstanding library items.
  • Calculating replacement cost of lost books and submission of information to acquisitions and processing for possible redeployment.
  • Debit to the student account and insert a message on the patron record.
  • Credit to student accounts and update patron records upon receipt of outstanding books.
  • Control and detection of sources referred to as "back in the library" (claims returned) Controlling and finding the resources indicated as "claims returned".
  • Regular clearing of the "Paid Files" in the library System.
  • Daily checks of "Circulation overrides"
  • Daily balancing & closing of circulations cash register.
  • Cross-checks in the Library system of fines paid against the cash register.
  • Payment of the previous day's income to the library cashiers.
  • Daily reporting on the library income spreadsheet.
2.    Training Support:
  • Assisting in the Teaching and Learning Commons.
  • Perform Duties at the Information Desk.
  • Provide basic information literacy training.
  • Providing orientation to new users.
  • Participate in the marketing of library services.
  • Evening and weekend duties when required.
3.    Reminders:
  • Sending reminders of overdue library items to patrons
  • Administration regarding staff reminders and invoices
  • Management of long-term loans (Reminders sent twice a year).
  • Do follow-ups of long-term loan patron/ departments/schools and faculties.
4.    Circulations services:
  • Attend to circulation services inquiries and assist patrons with circulation service activities.
  • Train users on using the Self-Check machine.
  • Attend to Document Delivery and branch requests.
  • General loan service tasks including relief during the evening shift and work on Saturdays.
  • Prepare the Saturday timetable and other circulation activities schedules.
  • Orientation of new circulation service staff
  • Assist in community engagement projects.
  • Update library opening hours’ notice boards.
  • Maintain access control-registration patrons and upload on the library system,
  • Issuing and processing letters of introductions to postgraduate students and lecturers, Liaison with protection service for library access.
  • Liaison with information systems for database access.
  • CAS verification status if access card is not activated.
  • Attend to OHS issues.
5.    Administrative tasks:
  • Maintain access control-registration patrons and upload on the library system.
  • Issuing and processing letters of introductions to postgraduate students and lecturers.
  • Liaison with protection service for library access.
  • Liaison with information systems for database access.
  • CAS verification status if access card is not activated.
  • Assisting in shelf reading, weeding, and stocktaking.

Minimum requirements

MINIMUM REQUIREMENTS:
·         A bachelor of Library & Information Science or Bachelor of Information Science (NQF level 7) or a bachelor’s degree (NQF level 7) in any field of study with an Advanced diploma in Library and Information Science.
·         Membership with the Library and Information Association of South Africa (LIASA).
·         A minimum of 2 years’ experience in library services.

RECOMMENDATIONS:
·         Customer service or office administration will be recommended.

KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:
·         Computer literacy in MS Office (Word, Excel), Email and Internet
·         Practical knowledge of a computerized library system
·         Ability to master the Library Management System
·         Knowledge of and understanding of the academic structure of the university
·         Understanding of library marketing and advocacy

BEHAVIOURAL COMPETENCIES:
·         Good oral and written communication skills.
·         The ability to function independently, problem solving, systematically, accurately and in teamwork.
·         Good interpersonal relationships, with the ability to connect internally as well as externally.
·         Good time management.

REMUNERATION:
The annual total remuneration package will be commensurate with the level of appointment as advertised and in line with the NWU policy guidelines.
