Job description

PURPOSE OF THE POSITION
Secretary for the School of Physical and Chemical Sciences.

KEY RESPONSIBILITIES:
System & Administrative Support
  • Secretary for the School of Physical and Chemical Sciences
  • Liaise with various stakeholders (students, academics, external, etc)
  • Responsible for administering one or more systems or parts of a major system, such as research administration, staff records maintenance or one or more financial sub-systems.
  • Responsible for data collection, formatting, and report compilation; photocopying.
  • Resolve administrative problems by coordinating the preparation of reports, analysing data, and identifying solutions.
  • Distribute documentation to school/subject groups/faculty/organization unit and other relevant people.
  • Responsible for filing or overseeing correct filing according to established file structure.
  • Suggest improved administrative practices and transfer knowledge within the school/subject groups.
  • Responsible for administering annual planning of the school/subject groups.
  • Resolves problems/discrepancies and communicates with a variety of administrative and professional employees within and outside the university.
  • Set up and prepare reports, including taking of meeting minutes as required.
  • Submission of marks on the university system.
  • Asset control.
Financial administration
  • Capturing of temporary appointments and claims.
  • Assist the school/subject groups in compiling of budget and monitoring expenditures.
  • Assist in performing financial administration for the school/subject groups including orders and deliveries.
  • Knowledge and experience of using Kuali Financial systems (KFS) is an added advantage.
Logistics
  • Perform procurement tasks as required for the successful functioning of the school/subject groups/ faculty/business unit/organization unit, including physical office administration.
  • Ensure the operation of equipment by completing preventive maintenance requirements; calling for repairs; and maintaining equipment inventories.
  • Maintenance of buildings.

Minimum requirements

  • Grade 12 (NQF level 4).
  • An Advanced Certificate or a National Diploma in Administration (NQF level 5/6).
  • A minimum of two (2) years’ administrative experience within higher education or related sector.
  • A minimum of two (2) years’ financial administration experience.
ADDED ADVANTAGE:
  • A Bachelor’s degree in Administration (NQF level 7).
KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
  • Office administration experience in a higher education institution.
  • Computer skills and knowledge of relevant office administration software such as MS Office Suite etc.
  • Knowledge of applicable administrative and financial systems used at the NWU or any higher education institution.
  • Demonstration of language proficiency in order to function optimally in the various multilingual environments of the NWU.
KEY BEHAVIOURAL COMPETENCIES:
  • Ability to work as a team member.
  • Ability to work effectively under pressure.
  • Good time management.
  • Discretion when handling confidential and sensitive information.
 
 
REMUNERATION
