Introduction
NORTH-WEST UNIVERSITY (POTCHEFSTROOM CAMPUS) DIVISION: FINANCE AND FACILITIES DEPARTMENT: STUDENT FINANCES AND FINANCIAL RELATED SYSTEM POSITION NUMBER: N001173 VACANCY: USER SYSTEM CO-ORDINATOR PEROMNES GRADE: P9 EMPLOYMENT TYPE: PERMANENT PURPOSE OF THE POSITION: The purpose of the position is to functionally support and coordinate all systems (medium to large ERP systems) across one or more business areas in the Finance and Facilities environment effectively, focusing on developing and publishing management, standard, and ad hoc reports and establishing dashboard reports. The system coordinator is the formally appointed link between the functional area experts (business) across different business areas in the Finance and Facilities environment and IT (internal or external) to ensure that the systems functionally support the business.
Job description

KEY RESPONSIBILITIES:
 
Report writing / Programming (Low Code)
·       Development and publishing of management, standard, and ad hoc reporting and the establishment of dashboard reports through an auditable change management process.
·       Examples of typical tools: Microsoft Power Platform, e.g., PowerBi
·       Produces and implements reusable, reliable, and sustainable code according to technical specifications using approved standards, techniques and tools.
·       Identifies, communicates, and escalates technical problems.
·       Troubleshoots debugs, identifies problems, and recommends changes to serve as permanent solutions.
·       Produces and keeps documentation for written development up to date.
 
Functional support of processes, procedures
·       Influence, propose/initiate, implement and support business processes and best practices, optimisation, and standardisation
·       Provide specialised input for optimising functional procedures and processes (existing and suggested) to improve productivity and usability and the implementation thereof.
·       Establish effective testing methods to satisfy quality and audit requirements
·       Quality insurance, standard enforcement regarding specifications and development, and the first-line testing of provided solutions and integrations.
 
Stakeholder engagement (Functional co-ordination)
·       High quality of collaboration with Functional Area Experts (FAE) (business) in all system matters, system integrations and system-related projects and events (a team effort)
·       Collaborate with IT System support in all system matters, system integrations, system-related projects and events (a team effort)
·       Identify system shortcomings and problems (bugs) in development and operational systems in collaboration with FAEs and recommend appropriate remedies and/or establishment of alternative workarounds
·       Investigation of reported system errors and assistance with troubleshooting problems
·       Co-creation of specifications to ensure that the requested development for enhancements and new solutions not only provides an optimal solution but also adheres to policies and procedures
 
Operational management (system administration)
·       Monitoring, coordinating and handling system-related and integration problems such as exceptions, incident reports, JIRA tickets etc. and taking remedial steps or reporting to IT if necessary
·       Create and maintain system conditions and configuration settings, e.g. system calendars, alert notifications, various code lists and uploading standard information required by the system etc
·       Accountability of system enhancements and configuration.
·       Keep abreast of new system trends within the relevant FIN & Facilities domain (Research)
 
Projects
·       Participate, coordinate, plan, and liaise with projects in the Facilities & FIN environment to meet and implement the desired outcomes and timelines.
·       Conduct user needs analysis in collaboration with the FAEs to propose the best solution/configuration of functionality within the project
·       Change Management – collaborate with FAEs to inform and influence business (end-users) about the impact of the project
·       Continuous monitoring and detailed reporting of FIN and Facilities projects
 
Compliance, System Security and License utilisation
·       Establish/Implement a process to define roles and responsibilities wrt user access in the FIN & Facilities systems.
·       Monitoring utilisation with license entitlement to determine shortfall and provide the relevant information and potential shortfall for budgeting and procurement purposes.
·       System securities - granting access, yearly audits, monitoring super user activities. (Auditable)
 
Consultation & facilitation regarding system changes to clients (Change Management)
 
·       Work with FAEs to reduce resistance and effect of system and process changes.
·       Ensure training to FAEs and assist FAEs with end-user training for new implementations and enhancements
·       Conducts demonstrations and presentations on various aspects of the system.

KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:
·       Proven operational business knowledge and experience.
·       Customer consultation experience is recommended (ability to express business requirements in language a developer will understand, and vice versa).
·       Knowledge of issue and task tracking system (JIRA) and QA principles, including test plans, test cases, and functional testing.
·       Ability to think critically about current and desired future practices and processes.
·       Ability to learn new applications.
·       Strong analytical and investigative skills are recommended.
·       Knowledge of project management is recommended.
·       Must be able to work on simultaneous projects across different environments and meet multiple deadlines.
·       Good numeracy skills.

Minimum requirements

·       A degree in Information Technology or Financial Related (NQF level 7) OR a diploma in Information Technology or Financial Related (NQF level 6) with 5 years of relevant experience.
·       A minimum of 3 years of report writing experience (low code).
·       A minimum of 1 year of programming experience (especially low code, e.g., Microsoft Power Platform).
·       Knowledge of systems, processes, and integration with other systems.
·       Microsoft Office experience (advanced)
 
REMUNERATION:
The annual total remuneration package will be commensurate with the level of appointment as advertised and in line with the NWU policy guidelines.
