Job description

PURPOSE OF THE POSITION

Providing assistance with all student account enquiries and administration at the Vanderbijlpark campus.

KEY RESPONSIBILITIES:

Student Account Enquiries 

  • Assist with all student enquiries and general assistance on phone and over the counter.
  • Actively attend to student portal enquiries.  Respond to enquiries within 48 hours.
  • Aid student with quotations within 48 hours of request received. 
  • Customer service.

Manual Transactions 

  • Process manual transactions on student accounts according to financial rules and guidelines. 
  • Perform account reviews to ensure correctness of information.

Adjustments and Cancellations

  • Process account adjustments based on information received from SALA.
  • Process adjustments with student cancellations and reconcile account within 30 days.

Processing of Credit refunds

  • Review online credit refund applications.
  • Ensure relevant documentation is included
  • Evaluate credit refund requests and approve or decline according to authorisation levels
  • Process credit refunds within 10 working days.

Account Audit

  • Regularly review old credit balances on non-active student accounts.
  • Accurate record keeping according to the NWU Record Keeping Policy. 
  • Respond to all internal Audit Highbond Queries within 24 hours. 

Student Communication 

  • Send out, and monitor tasks to students.
  • Review applicants and documentation from students and approve according to financial rules.

OHS

  • Compliance with OHS audits, schedules, evacuation drills etc.

Ad Hoc

  • Assist with all reasonable and ad hoc tasks that might surface in the line of duty in the Student Accounts & Bursary Department.

Minimum requirements

  • Grade 12 (NQF Level 4) with accounting as subject. 
  • A minimum of two (2) years’ experience in financial processing.

ADDED ADVANTAGE & PREFERENCE

  • An advanced certificate in Accounting (NQF level 5) or related to finances.
  • A minimum of one (1) year experience within a tertiary education environment.
  • A minimum of one (1) year experience in VSS System knowledge.

KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:

  • Good communication skills – speaking and writing.
  • Problem solving skills.
  • Computer Literate in MS Office.
  • Punctual.
  • Accuracy and attention to detail.

KEY BEHAVIORAL COMPETENCIES:

  • Client Service Orientated.
  • Ability to function in a diverse team and independently.
  • Time management and ability to work under pressure.
