NORTH-WEST UNIVERSITY (POTCHEFSTROOM CAMPUS) FACULTY/ DIVISION: FINANCE AND FACILITIES DEPARTMENT: FACILITIES: SPACE MANAGEMENT & UTILITIES POSITION NUMBER: N000463 VACANCY: SPACE BOOKING OFFICER PEROMNES GRADE: 12 EMPLOYMENT TYPE: PERMANENT Employment Equity PURPOSE OF THE POSITION To provide support to the Space Management business processes by utilising the Integrated Work Management System (IWMS) in respect of space management processes such as reservation and move- requests, staff on-boarding, infrastructure applications and lease management and other out-of system processes. Supporting requesters by means of training, progress reports etc. Updating information on the system for Space HEMIS reporting purposes. Providing admin support to the Space Management function.
Job description

KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:
·       Experience in and knowledge about Facilities Management processes.
·       Experience in a service desk or related environment
·       Computer literacy: MS Excel, Word, PowerPoint, etc.  
·       Capturing data and information on a system
·       Knowledge and experience in providing basic admin support (meeting administration, record management, general admin support)
·       Have an understanding of basic office space requirements/services .

KEY BEHAVIOURAL COMPETENCIES:
·       Excellent communication skills
·       Ability to liaise with internal and external stakeholders
·       Ability to provide professional / quality services to end users
·       Ability to maintain a professional attitude under pressure.
·       Enthusiastic team player with positive social and interpersonal skills.

Minimum requirements

·       Advanced Certificate or Diploma (NQF 6) with Three years experience in a Facilities or Space Management environment in an admin support role or
·       Grade 12 with 6 year experience in Facilities or a Space Management environment in an admin support role

JOB DESCRIPTION
KEY RESPONSIBILITIES:
1.      Service Desk Support          
·       Support space management functions on the IWMS by routing or approving requests (moves, infrastructure applications, reservations)
·       Provide feedback to requesters about status and progress
·       Provide training and guidance to requesters about all business processes

2.      Space utilization data          
·       Capture all staff information on system for new staff, relocations of staff due to construction projects, internal moves etc. to keep office utilisation records up to date.
·       Ensure that space OE allocations are maintained
·       Coordinate entrance signage process to ensure information is up to date

3.      Space Charges                     
·       Administer space cost recoveries (venue hire) and space charges
4.      Lease agreements 
·       Capturing lease agreements for academic spaces and Student Life facilities on the IWMS
5.      Admin support      
·       Provide admin support to the Space Management function (record management, meeting administration, general admin support)

ADDED ADVANTAGE & PREFERENCES:
·       One year experience in a Service Desk (call centre or reception) or venue reservations/management
