NORTH-WEST UNIVERSITY (VANDERBIJLPARK CAMPUS) DEPARTMENT: FINANCE AND FACILITIES_ PROTECTION SERVICES VACANCY: JUNIOR CLERK PEROMNES NUMBER: P15 POSITION NUMBER: V002677 POSITION TYPE: PERMANENT PURPOSE OF THE POSITION: To render a sustainable client service through vehicle registration, parking reservations, capture and finalisation of traffic of vehicles on e-Natis as well as handling of traffic notifications.
Job description

      Strategic development
·       Must adherence of vision, mission, values and code of ethics on daily basis for a unitary, NWU, Protection Services by end of year
·       Adherence on standard operation procedures daily
·       Attend one mass meeting monthly
·       Attend one traffic and access control meeting monthly
 
Vehicle registration
·       Register all vehicles on the SAS system through the completion of applicable documentation daily
·       Verify correct applicable parking discs as per colour coding on application form daily
·       Issuing of all permits for paraplegics, referrals from section head, temporary disability, and temporary allocated parking at reserved parking areas daily
 
Parking reservation
  • Handle and arrange reservations as requested from the clients daily
  • Prepare documentation for protection officer to reserve parking daily
  • Arrange for payments per service billing numbers and cash transactions daily
  • Capture all relevant information on a excel document for the verification of payments daily
 
Traffic administration
  • Confirm that correct amount of notices issued on a daily basis are handed in on applicable register
  • Follow correct procedures/processes through capturing and finalization of notices daily
  • Do queries on the SAS system for active or inactive vehicle and person daily
  • Capture notices on the SAS system daily
  • Capture representations on the SAS system which is handed in by the offenders daily
  • Gather information from the SAS system to finalize decision representations daily
  • Collecting of staff notices and process through the SAS system when requested
  • Tracking of vehicles which are not registered on the SAS system
  • TGB logs, eNatis, VSS and SAS system weekly
  • Follow correct procedure on filing of notices weekly
 
General office administration and secretarial services
  • Filing of completed documentation
  • Ordering of inventory, e.g Applications for parking discs, representations, control forms, etc.
  • Correspondence, desk service, internal and external liaison
 
Personal development and ad hoc instructions
  • Completion of ad hoc instructions as determined by head
  • Attendance of relevant courses

Minimum requirements

·       Grade 12 is essential
·       1 year experience in computer literacy is essential
·       1 year experience in office administration is essential
 
RECOMMENDATIONS:
·       Financial background is desirable
·       Knowledge of traffic systems (eNatis, SAS) is desirable
·       Traffic regiment is desirable

Functional/Technical Competencies (Knowledge and Skills):
 
  • Computer Literacy (Windows10, MS Word, MS Excel and Email program)
  • Must be bilingual -Afrikaans and English
  • Office administration skills
  • Filing experience

  • Must be able to carry out assignments and function in a team
  • Must be able to lead in certain situations
  • Successful liaison with staff, students, and visitors
