NORTH-WEST UNIVERSITY (POTCHEFSTROOM CAMPUS) FACULTY/ DIVISION: DVC: RESEARCH & INNOVATION POSITION NUMBER: N001473 VACANCY: PERSONAL ASSISTANT PEROMNES GRADE: P11 EMPLOYMENT TYPE: PERMANENT APPOINTMENT PURPOSE OF THE POSITION: The purpose of this position is to provide high-level support to the Chief Director: Library and Information Service in terms of administration and coordination of meetings, preparation of reports, bookings, and appointments, as well as attending to virtual or physical visitors to the office. The position holder may also train and supervise lower-level administrative staff.
Job description

KEY RESPONSIBILITIES:
1.      General office administration
2.      Minutes writing
3.      Correspondence and records management
4.      Finances and budget administration
5.      Diary management
6.      Liaison with staff, clients, and suppliers

Minimum requirements

·       Certificate or Diploma in Secretarial/Administration

RECOMMENDATION:
·       Relevant Degree/Diploma in Administration or Communication
·       Membership with relevant Association
 
EXPERIENCE:
·       Five (5) years’ operational management experience in a secretarial and/or administrative environment
·       Three (3) years’ operational management experience within the education environment
 
KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:
·       Have strong organisational skills
·       Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology
·       Ability to plan and work on own initiative and meet tight deadlines
·       Presentation skills and attention to detail
·       Ability to manage pressure and conflicting demands and prioritise tasks and workload
