Minimum requirements

QUALIFICATIONS:
 
Ø Matric/Grade 12
Ø Advanced certificate/Three year’s diploma in office management/secretariat.
Ø Valid driver’s licence in light motor (code B)
EXPERIENCE/S:
Ø 3 years of advanced experience in general office administration, university structures, procedures and policies.
Ø 3 years of advanced knowledge and experience with Microsoft Office including Word, Excel, PowerPoint and Teams.
Ø 3 years of advanced knowledge and experience with the NWU financial system (Kuali).
Ø 3 years of advanced knowledge and experience in the NWU InfoEd, assets and records management systems.
Ø 3 years of experience in in the NWU postgraduate student’s lifecycle administrative processes.
Ø 3 years of experience in website and social media content management and use thereof.

JOB DESCRIPTION
KEY RESPONSIBILITIES:
1.      General office administration
·       Schedule meetings, compile agendas, minutes and reports, records management, venue preparation for events, report facilities maintenance, national and international travel arrange events and other ad hoc duties such as courier parcels, correspondence and telephone calls.
2.      Financial administration
·       Purchase orders, receive goods, payment requests, disbursement vouchers, and service billings, financial enquiries from staff, postgraduate students and suppliers.
3.     Research and postgraduate student lifecycle administration
·       Compile and update databases, capture research outputs, asset management, ethics record keeping, facilitate calibration of research equipment and instruments, post graduate student progress reports, postgraduate student questionnaire, research codes of conduct, schedule scientific committee meetings, communicate with prospective and current postgraduate students.
4.      Website and social media
·       Update and maintain entity website and other social media platforms and placement of event advertisements.
       
The annual total remuneration package will be commensurate with the level of appointment as advertised and in line with the NWU policy guidelines.
