Job description

Purpose of the position:
General academic administration in the Higher Degrees office such as regarding the processing of honorarium claims of an external examiner. Processes include sorting batching, listing, and capturing claims, as well as responding to enquiries and other monitoring aspects related to the process.

JOB DESCRIPTION
KEY RESPONSIBILITIES:
1.        General inquiries
  • To respond to all enquiries submitted about Honorarium claims from faculties, examiners, and HDA Staff
 
2.        Claim forms processes
  • To ensure completeness of forms received from examiners.
  • To list on an excel database, batch, and file in the correct spaces on the shared drive, all claims received.
  • To capture all honorarium and claims against P&C deadlines
  • To monitor payments and contracts loaded on the system
  • To control and check from data non-payments of claims
 
3.        Ad hoc tasks         
  • As delegated by Coordinators or management of SALA

Minimum requirements

  • Matric/Grade 12
  • 1 Year experience in computer literacy, email correspondence, and telephone etiquette
  • 2 Years’ experience in general office and administrative tasks

ADDITIONAL REQUIREMENTS:
  • Knowledge of NWU systems
  • Appropriate knowledge of processes for M and Ph.D. degrees administration and examination processes
  • Degree/Certificate or Diploma in any field
  
KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:
  • Ability to plan, organise and prioritize daily tasks.
  • Ability to learn and implement new systems and processes
  • Student system, GroupWise, and Microsoft Office software.
  • Ability to deal with clients in a professional manner.
  •  Ability to communicate verbally and in writing in a professional manner with all levels of NWU staff and with students.
  •  Appropriate knowledge of English and terminology used in the university environment.
 
KEY BEHAVIOURAL COMPETENCIES:
  • Ability to capture data correctly and work at a good pace.
  • Ability to stay calm and professional.
  • Ability to manage time effectively.
  • Ability to take the lead to complete tasks when required.
  • Ability to function in a team.
