Job description
PURPOSE OF THE POSITION
To support the Project Manager to develop, implement and maintain programme and project management structures and tools to enable effective management and delivery of change programmes within Student Information Systems of the North West University.
The provision of support and guidance on portfolio, programme and project management processes, procedures, tools and techniques. Including definition of portfolios, programmes, and projects; advising on the development, production and maintenance of business cases; time, resource, cost and exception plans, and the use of related software tools. Tracking and reporting of programme/project progress and performance and facilitating all aspects of portfolio/ programme/ project meetings, workshops and documentation.
JOB DESCRIPTION
KEY RESPONSIBILITIES:
1. Project Administration
· Maintaining central project records and establishing project controls, keeping the project manager aware of the project status.
· Preparation of project reports including status reports, RAID logs and project dashboards,
· Tracking and analysis of spend and budgetary information across the full project portfolio
· Identifying risks, issues and discrepancies and taking action accordingly
· Providing secretariat to Programme and Project Boards as needed and attending Project team meetings.
· Providing flexible, hands-on delivery support and assisting with effective communication between project management and the business.
2. Relationship Management, Planning and Training
· Manage professional relationships with a wide range of internal and external stakeholders and act as lead point of contact for some external parties.
· Overseeing project closure and lessons learned
· Establishing benefits log and monitoring benefits realisation
· Providing training and guidance to colleagues across the organisation to develop capabilities.
Implement and maintain appropriate systems to enable effective planning and scheduling of project activities
Minimum requirements
MINIMUM REQUIREMENTS:
· Relevant Bachelor’s Degree/Advanced Diploma
· 3 years Project administration experience at an operational level
KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:
· Microsoft Project, Visio, MS Excel, SharePoint and the other Office 365 Tools
· Extensive experience of preparing, managing and communicating project-related documentation for Project and Programme Boards.
· Sufficient level of technical background to accurately and objectively evaluate project risks and issues.
· Ability to provide leadership to business analysts and collaborate with customers and develop strategies and solutions of high business value
· Experience of contributing to and writing detailed and good quality documentation to support technical implementation work of multiple projects
· Experience of designing & facilitating workshops for customers
· Experience of delivering presentations to project stakeholder
· Strong interpersonal skills including mentoring, coaching, collaborating, and team building
· Strong analytical, planning, and organizational skills with an ability to manage competing demands
· Solid understanding of and demonstrated experience in using appropriate tools:
· Excellent oral and written communications skills and experience interacting with both business and IT
