PURPOSE OF THE POSITION
To perform and provide high-level administrative, logistical and personal support to the Dean/ Deputy Dean, within the Faculty of Natural and Agricultural Sciences to ensure efficiency and effective professional service.
Job description
KEY RESPONSIBILITIES:
1. OFFICE MANAGEMENT
· Assist Dean/Deputy Deans, directors and deputy directors across campuses with daily responsibilities in driving the mission of the university and meeting strategic, functional and operational objectives of the faculty.
· Manage administrative, technical and communication of the Dean/Deputy Dean’s office, in line with the performance tasks of the office.
2. PEOPLE AND CULTURE RELATED TASKS
· Liaising between the faculty and People and Culture.
· Assisting with academic promotions, appointments, performance management process, and inaugural lectures within the faculty.
3. FINANCIAL ADMINISTRATION
· Liaising between faculty and financial administration.
· Management of operational budget of the Dean/Deputy Deans.
4. OCCUPATIONAL HEALTH & SAFETY AND ADHOC
Ad hoc tasks that the Dean/Deputy Deans require assistance for, and Occupational Health and Safety-related tasks in the work environment.
KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:
· Excellent communications skills (written and verbal)
· Computer literacy – MS Office
· Excellent ability to compile reports
· Knowledge of administrative systems such as word processing, managing files and records, designing forms and office procedure and processes.
· Customer service orientation by responding to client’s request promptly and effectively.
· Ability to perform basic mathematical operations with accuracy.
· Ability to organise tasks effectively, meet deadlines and the ability to work independently but as part of a team.
· Accuracy and attention to detail to deliver accurate products conforming to applicable quality standards.
· Demonstration of language proficiency in order to function optimally in the various multilingual environments of the NWU.

· Excellent interpersonal skills
· Strong financial administrative skills
· Ability to work efficiently under pressure
· Discrete and trustworthy (discretion when handling confidential and sensitive information)
Minimum requirements
· Diploma in relevant field (Administrative or Secretarial)
· 5 years’ experience in a secretarial, administrative or allied environment
· 2 years’ experience within the tertiary education environment
· Financial administrative experience - desirable
