Job description
PURPOSE OF THE POSITION:
· The Chief Administrative Officer position provides professional administrative support to the Director of the South African Centre for Digital Language Resources (SADiLaR) in all external an internal engagement with efficiency and professionalism in national and international stakeholders
· SADiLaR is a national research infrastructure hosted by the North-West University, supported by Department of Science and Innovation as part of the South African Research Infrastructure Roadmap. SADiLaR initiates and coordinates dedicated projects being executed by the Centre itself, as well as by the Nodes comprising the University of Pretoria, University of South Africa, the Next Generation Enterprises, and Institutions Cluster, CSIR, CTexT as well as a partnership (ICELDA) of four South African universities as well as the Child Language node at Stellenbosch University. MINIMUM REQUIREMENTS:
· Tertiary qualification in relation to secretarial and/ or administrative skills and/ or project or general management
RECOMMENDATION:
· 1 years’ experience in project management skills and the ability to manage various projects simultaneously
EXPERIENCE:
· 4 years’ experience in a secretarial, administrative, or allied environment at a senior level
· 2 years’ experience within the tertiary education environment
· 2 years’ experience in excellent writing and communication skills
KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:
· Computer literacy: MS Office (Word, Excel, PowerPoint, etc.)
· Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures
· Knowledge of principles and processes for providing customer and personal services, including customer needs assessment and appropriate responses
· Ability to operate independently within delegated authorities.
· Ability to maintain effective relationships with clients and stakeholders.

JOB DESCRIPTION
KEY RESPONSIBILITIES:
1. Personal Administration:
- Acting as a first point of contact for the Executive Director, often controlling access to the Executive Director
- Reminding Executive Director of important tasks and deadlines
- Manage records and filling system of confidential and personal documents\ expense reports
- Financial processing as required
- Performing personal errands for the Executive Director as required
- Execute ad hoc tasks as assigned by the Executive Director or his/her delegate to ensure smooth functioning of the office
- Drafting correspondences, contacting stakeholders, and initiating meetings as instructed
2. Diary management:
· Updating calendar and ensuring a constant workable schedule for the Executive Director
· Perform telephonic, paper, and electronic appointments bookings and parking arrangements
· Plan, organise, remind, coordinate internal and external meetings and workshops
· Arrange internal and external visits of the Executive Director and other staff inclusive of travel, accommodation, and other logistical matters
3. General Office Administration:
- Attending meetings with Executive Director, taking notes and processing action items
- Responsible for all general administration for Executive Director
- Follow up on outstanding instructions given by the Executive Director
- Initiate processes or update processes to improve productivity when necessary
- Secondary TAS System support
4. Correspondence and project reporting:
· Maintain office systems, including data management and filing in line with SADiLaR’s internal processes
· Compose and edit letters, reports, and other correspondence for the Executive Director
· Distribute relevant documentation and internal and external correspondence from the office
· Process replies on own initiative or from Executive Director’s dictation or notes
· Manage and oversee all engagements and completion of subsequent action items
· Attend meetings as required by the Executive Director and compile action items, minutes, and agendas
· Compile monthly engagement reports that comprise of deviations in respect of project schedules and budgets, that highlight potential risks in collaboration with Operations Director as required for the Executive director
· Evaluate, screen and deal with telephone and office inquiries and queries, providing feedback and assistance, allowing the Executive Director to concentrate on strategic matters
· Support programme creation and provide a progress report in collaboration with Operations Director and Executive Director
5. Risk management and reporting:
- Improve the risk management process to ensure effective mitigation of risks through participation and providing guidance for hazard identification, risk assessment, change management, and accidents in liaison with the Operations Director and the Executive Director
The annual total remuneration package will be commensurate with the level of appointment as advertised and in line with the NWU policy guidelines.
