Job description

KEY RESPONSIBILITIES: JOB DESCRIPTION
 
1.    Vehicle Renting & Client Service
  • Handle, process, monitor, Issue & check Vehicle Bookings, keys, driver’s licenses, departure & return times of Fleet Vehicles. Provide 24-hour assistance. Knowledge of range of NWU Fleet Vehicles
2.    Control & Administration of Official NWU Fleet Vehicles (Pool & Departmental)
  • Inspect vehicles for any damages. Manage that services & repairs are done, to be in line with National Road Traffic rules & Regulations. Annual Vehicle licence renewals (Proxy). Handel Insurance Claims. Compile Monthly vehicle reports. Manage Finalisation of Traffic Fines. Manage & control of Fuel / maintenance cards. Compile & Issue cross border letters for official Vehicle use. Filling. Engage, Assist & Support Departments with regards to the utilization of Department vehicles.
3.    General Financial Administration
  • Check, calculate & finalize route slips on KFS & booking system. Finalization of all Invoices. Reconcile monthly fuel & maintenance bill. Create Journal corrections
4.    Liaison
  • Internal & External client service, & support - professional & friendly.
5.    Personal Development
  • OHS Safety around work area (understanding that Safety comes first)
6.    OHS
  • OHS Safety in & around work environment.
7.    Ad Hoc Assignments
  • Completing, willingness & execution of direct & additional assignments from direct Line Manager

KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:
·         Knowledge on Traffic rules, regulations & Road Safety
·         Knowledge on Fleet – Type of Vehicles
·         Knowledge – Fuel – Understand difference between Petrol & Diesel
·         Understanding the usage of Fleet Cards (Fuel & Maintenance)
·         Understanding, to determine & Report any problems & defaults on vehicles
·         Computer Skills – Knowledge of Excel & Word for Reporting purposes
 
KEY BEHAVIOURAL COMPETENCIES:
·         Own Initiative
·         Work independently and positive quick decision making
·         Good & friendly communications skills
·         Good client services


Minimum requirements

·         Grade 12 12 is essential
·         Driver’s licence is essential
·         Administrative Diploma is desirable
 
EXPERIENCE:
 
·         Atleast 4 years Knowledge of Fleet is essential
·          3 years’ Administrative experience is essential
·         Experience in payment of Invoices of Vendors & Contractors is desirable
·         Knowledge of Financial systems such as Kuali (KFS) & Oracle is desirable
·         Computer Skills (Excel & Word) is essential 

The annual total remuneration package will be commensurate with the level of appointment as advertised and in line with the NWU policy guidelines.
