Job description
Purpose:
To provide administrative support for Student Academic and Development and Support (SADS) programmes on the Potchefstroom Campus working with 3 Senior Student Advisors on student support programmes. Liaise with other stakeholders to access reports/ information for the various processes. The various projects within student support needs a full-time administrator to provide support with the day-to-day operations.
Responsibilities:
1. Administrative duties and support
• Perform admin duties as assigned by the Senior Academic Advisor and other Advisors in connection with the different SADS programmes.
• Provide support in a variety of administrative activities.
• Reception of guests.
• Organising general administration such as data capturing, photocopying, scanning systems and filing.
• Support and oversee the up-keeping and readiness of meeting venues and report back on maintenance requirements, and cleanliness of the venues.
• Attend to incoming calls and daily enquiries in regard to the programs.
• Sending out invitations and reminders for meetings and handling all administrative tasks in this regard
• Maintaining a comprehensive up to date list (from P&C) of all newly appointed students’ assistants.
• Organisation and assisting duties.
• General administration of documentation.
• Assisting in arranging meetings and internal conferences.
• Assisting in arranging bookings and other logistics for workshops.
• Ad Hoc requests.
2. Financial System
• Computer literacy enhancement (Excel), extensive exposure to data capturing and development of graphs.
• Functions of the Kuali financial system (KFS).
3. Ad hoc duties
• As required by the project leader from time to time.
Minimum requirements:
• Grade 12.
• Certificate or Diploma in Administration related field.
• 2 Years’ experience working in an office environment.
Functional/Technical competencies
• Knowledge of word processing, and keyboard skills.
• Computer literacy (MS Office – especially Excel and MS Teams).
• Working knowledge of ICT applications (internet, email, electronic learning environments.
• Expertise with regard to administration, data collection and processing, as well as reporting.
• Demonstration of language proficiency in order to function optimally in the various multilingual environments of the NWU.
Behavioral competencies
• The ability to function effectively under pressure.
• Excellent communication skills (verbal and written, as well as good listening skills).
• Excellent interpersonal relations and a positive client-service orientation.
