NORTH-WEST UNIVERSITY (MAHIKENG CAMPUS) FACULTY: HUMANITIES VACANCY: ADMINISTRATIVE ASSISTANT PEROMNES NUMBER: P13 POSITION NUMBER: MF00836 FIXED TERM APPOINTMENT WITHOUT BENEFITS PURPOSE OF THE POSITION: To support the administrative functioning of the school with particular regard to the entering of marks, liaising with students and the general public, supporting the study guide system, supporting the maintenance of module files.
Job description

Student Records Administration
1.1 File Plan and disposal management
1.2 Provide and student data as needed
1.3 Liaise with SALA on student matters
1.4 Provide accurate throughput and other data as required
Module results and academic Administration
2.1 Capture student results into VSS in an ongoing fashion
2.2 Support changes to VSS mark entries as required
2.3 Support examinations preparation process and mark amendments
2.4 Study guide upload and activation
Student and Public Liaising
3.1 Deal with email, telephonic and in person inquiries from students, parents and other stake holders.
NWU Records Management
4.1 Support the maintenance of module files and ensure the school office is compliant with the NWU records management requirements
 Building and General duties
5.1 coordinate with building services such as cleaning, venue bookings as applicable, reporting problems, supporting health and safety requirements, and administrating office moves when necessary
Coordinate study guide production
6.1 Coordinate the activation and upload of study guides for The Social Anthropology and History Subject Groups
 

Minimum requirements

  • Grade 12 is essential
  • Secretarial training is desirable
  • Experience of the NWU student administration system is desirable
 
Functional/Technical Competencies (Knowledge and Skills):
  • Must be competent in MS Office, particularly Excel and Word
  • Must be competent in keeping records and filing
  • Must be competent at coordinating administrative processes
  • Must be able to plan workflow and time management for complex processes involving multiple role players
 
Behavioural Competencies:
  • Must be able to work with a diverse range of stakeholders in a friendly and professional manner
  • Must be able to clearly and concisely communicate processes and requirements to a diverse range of stakeholders
  • Must be able to work effectively under the pressure of deadlines
  • Must be able to quickly learn systems and skills as may be required by the changing work environment
