NORTH-WEST UNIVERSITY (MAHIKENG CAMPUS) FACULTY/ DIVISION: PEOPLE AND CULTURE POSITION NUMBER: M000585 VACANCY: Senior HR Assistant PEROMNES GRADE: 12 PURPOSE OF THE POSITION The Senior HR Assistant is responsible for assistING the P&C Practitioner with all Operational and Administrative Human Resources Management needs of the allocated business units. The HR Assistant supports the following key performance areas of the client services Division.

JOB DESCRIPTION
KEY RESPONSIBILITIES:
Recruitment Support and Onboarding
Assisting with the execution of recruitment and appointment administrative processes
a. advertisements,
b. initial shortlisting
c. letters to unsuccessful candidates
d. administration of psychometric evaluation process
e. interview appointments
f. Preparation of interview packs
g. Assist with creating employment offer packs etc.

  • Ensure that complete and accurate documentation is submitted to the HR Admin section, as agreed with the relevant line manager
  • Liaise with the prospective candidates as instructed.
  • Check that submitted documentation received is completed in full.
  • Ensure all integrity checks (criminal, credit, and qualification records) are carried out fully and in a timely manner.
  • Administer the appointment process and administration — acceptance forms and employment forms
  • Travel bookings and accommodation arrangements for candidates and the P&C team
  • Handling/ processing HC131F forms
  • Ad hoc recruitment support for Senior Appointment
  • Administer the Probationary review periods
  • Integrations of new staff members-Induction

HR practice(s) support
  • Daily admin duties, i.e. submission of documents to various department
  • Issuing confirmation of employment letters (Probation)
  • Submitting of items for filing and retrieval of files
  • Reporting- compile HR-related reports as and when required
  • Tracking of Payroll queries/issues
  • Assist with payroll queries for documents corrections from central e-mail
  • Assist with receiving and distributing forms concerning benefits e.g. pension funds, disability claims, etc.
  • Perform ad hoc duties as assigned by P&C Practitioners and Director

Client Service and Communication
  • Daily telephonic enquiries
  • Email correspondence
  • Attending to visitors

General support
  • Team Coordination function — arrangements of meetings, agenda's and minutes
  • Provide HR support to employees and line managers, directing them on where to find information related to HR policies and processes as well as explaining the policy content and procedures in a timely and efficient manner.
  • Direct HR & Payroll related queries to the relevant personnel

Compliance and Data
  • Ensure that the applicable processes and standard operating procedures (SOPs) are executed in the prescribed format.
  • Provide all recruitment administration support

Minimum requirements

  • Grade 12 is essential (NQF 4)
  • Relevant degree/ diploma/ certificate in HR or Related field (NQF 6/7)

EXPERIENCE/S
  • 1-2 years in General administrative experience is essential
  • 1-2 years of Experience in an HR Environment is essential

KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:
  • Knowledge of applicable HR practices’ policies, process, SOPs, templates, and management systems
  • Record keeping and filing
  • Knowledge of applicable legislation (BCEA, LRÀ, EE, SDA, SDLA)
  • Good communication skills, both written and verbal
  • A client-service orientation
  • Good conflict-management skills
  • To administer the applicable HR practice(s) policy, process, SOPs, templates, and management system(s)
  • Keep records, maintain database, do filing and prepare data for reporting
  • Deal with HR policy process and related queries in a courteous and competent manner
  • Knowledge of HR systems will be an added advantage e.g. Oracle system
  • Computer literacy, including MS Office (Word and Excel) and email

KEY BEHAVIOURAL COMPETENCIES:
  • Good interpersonal relations, as well as the ability to work effectively as part of a team
  • Good time-management skills and the ability to function effectively under pressure
