Job description
- To provide high-level executive, administrative, and logistical support to the Deputy Vice-Chancellor and the office to ensure efficiency, professionalism, and including transformation, diversity, and inclusivity.
Minimum requirements
- Relevant Bachelor’s Degree that is related to the key responsibility areas, equivalent to NQF level 7
- Master of Business Administration (MBA) on NQF level 9
- 5 year’s functional experience in Higher Education Institution is essential
- A valid driver’s license
KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:
- Knowledge of organisational structure and functioning; protocol
- Knowledge of administrative and clerical procedures and systems such as word processing, compiling statistics and reports, managing and records, designing forms, and other office procedures
- Knowledge of principles and processes for providing customer and personal services, including customer, needs assessment and appropriate responses
- Knowledge of organisational structure and functioning
KEY RESPONSIBILITIES: JOB DESCRIPTION
1. Community Engagement & Stakeholder Management
- Arrange internal and external visits of superior and other staff inclusive of travel, accommodation, and other logistical matters, manage protocol
- Plan, organise and coordinate internal and external meetings, events, and workshops
- Assist and coordinate CE activities
- Liaise with external stakeholders, facilitate and establish CE forums
- Manage agreements with government departments
- Initiate and facilitate CE projects, agreements, etc
- Coordinating various CE initiatives
- Compile reports and statistics regarding external interdependencies at local ad provincial levels for meetings; community reports
2. Support DVC regarding assigned functions and campus operations
- Organising, securing sponsors,
- Coordinate and assist with SCC
- Coordinate donation requests
- Facilitate campus liaison with internal stakeholders
- Compile campus reports
3. Environmental management and impact on societies
- Establish portfolio
- Compile reports and statistics regarding environmental impact
- Facilitate guidelines and policy adherence
4. Liaison with staff, clients, and suppliers
- Evaluate, screen, and deal with telephone and office inquiries and queries, providing feedback and assistance
- Correctly direct calls and communication to alternative staff
- Compile correspondence, reports, and memoranda
- Format, proofread, and edit correspondence and other documents
- Compute, record, and proofread data and other information, such as records or reports
5. Office Management
- Maintain office efficiency by planning and implementing office systems
- Maintain office service by organising office tools (e.g., databases, market intelligence) operations and processes
- Records Management: Maintain internal processes for retention, protection, retrieval, transfer, and disposal of records
- Participate actively in the planning and execution of office events
- Handle client inquiries and complaints and general problem-solving
6. Finances and budget administration
- Compile project budgets
- Manage project finances ensuring that funds are used efficiently
- Create requisitions, payment control, and control over office/organisation unit’s budget administration in accordance with applicable financial policies, rules, and systems
7. Ad Hoc tasks
- Execute ad hoc tasks as assigned by the Deputy Vice-Chancellor or his delegate to ensure smooth functioning of the office and portfolios
The annual total remuneration package will be commensurate with the level of appointment as advertised and in line with the NWU policy guidelines.
