Job description

PURPOSE OF THE POSITION:
To ensure effective alignment with the NWU strategy regarding the rendering of undergraduate administrative services to the academic school. This is required across the entire student academic life cycle, including lifecycle phases related to the portfolio of the Registrar (joint reporting to School Director and Faculty Administrator on areas they are jointly responsible for) as well as life cycle phases related to the portfolio of the DVC: T&L (reporting to the School Director and then Executive Dean).

RESPONSIBILITIES:
1. Managing the core activities related to undergraduate student administration, including:
·       Handle or appropriately direct enquiries of (prospective and current) undergraduate students
·     Organise the student files at School level (electronic or hard files) to contain all relevant information (application forms, other information such as correspondence, students' medical certificates)
·       Ensuring compliance of undergraduate students to requirements and the relevant A Rules and F Rules (Yearbook)
·       Liaise at School level with the relevant Faculty and campus offices and with the School Director, Undergraduate Program Managers, academic staff, and external examiners with regard to the implementation of all relevant policies and procedures
·       Liaise with the relevant campus departments responsible for assessment administration as well as the School Director, Undergraduate Program Manager and academic staff
·       Liaise between the persons responsible for the Faculty’s timetable, academic staff and students
·       Manage deadlines and responsibilities for the timeous submission of all assessment papers and the capturing of student marks on the VSS system
 
2.     Managing core activities related to Non-SALA undergraduate student administration, reporting to School Director only:
·       Manage all administrative activities at School level including the following activities:
  • Prescribed book lists
  • Study guides
 Final year student administration, including logistics and stakeholder liaison pertaining to final year projects
  • Lecturers’ evaluation
·       Book lecture halls for classes and extraordinary examinations
·       Communicate with external examiners/ moderators
  • Preparation and distribution of letters of appointment of external examiners\moderators
  • Preparation of remuneration documentation for external examiners (honorariums)
 
3.     Responsible for activities related to ECSA (Engineering Council of South Africa) audit/accreditation requirements at School level:
·       Perform administrative activities for the School related to accreditation by the Engineering Council of South Africa including:
  • Compilation of module files
  • Access VSS and collate information for accreditation
  • Liaise with Quality Coordinator and the Undergraduate Program Manager regarding all activities related to accreditation documentation and visits
 
4.     Personal assistance to the School Director and academic staff:
·       Meeting and minute administration for the School’s staff meetings
·       Diary management of the Director including arrangements for travelling and accommodation
·       Maintain staff records and files and schedule task agreements and performance reviews
 
5.     Infrastructure management and occupational health and safety:
·       Maintenance and safekeeping of the Occupational Health and Safety Files of the School in collaboration with the OHS co-ordinator of the Faculty
·       Report faults and follow up
·       Manage access control (keys)
 
6.     Ad hoc tasks in agreement with the School Director:
·       Responsible for the completion of ad hoc tasks as requested from time to time by the School Director

Minimum requirements

MINIMUM REQUIREMENTS:
·       Matric plus advanced certificate (essential)
·       Post-school qualification (desirable)
·       Adequate knowledge of the undergraduate education sector (3 years’ experience).
 
Functional/Technical Competencies (Knowledge and Skills)
·       Proven operational knowledge of the management and operations of general academic administration at a higher education level (desirable).
·       Excellent writing and oral communication skills.
·       Demonstration of language proficiency in order to function optimally in the various multilingual environments of the NWU.
Behavioural Competencies
·       High level of integrity and dependability with a strong sense of urgency and results orientation.
