Job description

KEY RESPONSIBILITIES:
1.    Financial Administration
Assist with purchasing, creating/processing, and follow-up of requisitions.
Purchase and control office stationery, groceries and/or any other articles necessary for office use.
Perform month-end reconciliation of finances, and general and year-end closing procedures and corrections, as and when required.
Assist with the annual departmental budget and ensure utilisation of funds is aligned to the available budget.

2.    Record Management
Ensure proper filing of documentation for the department and ensure effective management of departmental records.
Maintain the department’s internal electronic storage system.
Update documentation and access to records for annual quality review.

3.    Office Management
Assist in acquiring or processing the department’s tender and/or contractor documents or related documents form the responsible department.
Assist in the preparation of documentation for approval.
Handle enquiries and assisting personnel where required.
Process transactions on the KFS system as and when required.

4.    General Administration
Update the department’s risk register, safety register and coordinate office submissions.

5.    Meeting and Diary Management
Arrange meetings for the department with other departments and faculties.
Prepare for meetings (e.g. agenda) and perform administrative duties such as taking minutes and arranging meeting venues.
Make travel arrangements and reconciliations.

6.    Report Writing
Draft and compile monthly reports, and submissions from all departments within Facilities for consolidation.  


The annual total remuneration package will be commensurate with the level of appointment as advertised and in line with the NWU policy guidelines.

Minimum requirements

Advanced certificate in Office Administration (NQF 5) or equivalent qualification.
Two (2) years’ experience in administration and/or record management. 
 
KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:
Basic skills in MS Office and understanding and proficiency thereof.
Ability to understand and work on financial systems.
