Job description

PURPOSE OF THE POSITION
Under general supervision, performs various clerical/administrative duties for one or more organisational entity to assist the smooth
running of the administration and office.

JOB DESCRIPTION
KEY RESPONSIBILITIES:

1. General administration and correspondence
· Effective office management related to communication, time management and record keeping.
· Ensure timely and effective communication of relevant information to all staff.
· Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining
equipment inventories; evaluating new equipment and techniques.
· Effective management of all internal and external enquiries.
· Assist the Director in all general administrative tasks related to the School of Tourism Management.
· Demonstration of language proficiency to function optimally in the multilingual environment of the NWU
· Compute, record, and proofread data and other information, such as records or reports. Assistance to the Directors office
compiling record for Management meetings

2. Administration related to management & human resources
· Manage staff contracts on an annual basis
· Keep staff updated on relevant NWU regulations and policies
· Schedule meetings related to the activities and tasks of the Director and staff
· Update staff work schedules and calendars on a regular basis
· Make travel arrangements for staff when necessary
3. Administration related to financial management
· Perform financial tasks related to the School of Tourism Management and specific projects which can be research or
teaching and learning related.
· Manage the accounts of the School on Kuali
· Manage administrative matters dealing with finances related to bursaries, NRF accounts, external tenders and internal
budgets

4. Administration related to filing and record management
· Assist the staff in managing relevant records
· Serve as asset controller in the School of Tourism Management
· Maintain and update filing, inventory, mailing, and database systems, either manually or using a computer.
· Compile, copy, sort, and file records of office activities, business transactions, and other activities according to prescribed
records management system.
· Review files, records, and other documents to obtain
· information to respond to requests.

5. Administration related to T&L
· Assist the staff in the teaching and learning environment by managing the module files, the VSS system, the exam paper
system, the venue booking system and other systems that might be in use.

6. Logistics
· Perform logistical tasks related to the offices, arrangement of meetings, arrangement of accommodation and any other task
that will optimise the functioning of this School
· Assist in the logistical arrangements related to Open Days, Industry Days, Research days and the marketing material of the
School
· Asset Control

7. Ad Hoc
· Perform ad hoc administrative tasks as assigned by superior for general functioning of the school/faculty/organisation unit

Minimum requirements

· Diploma/ Certificate in Administration/ Public Relations/ Personal Assistant (NQF Level 6)
· Certificate in Financial Management/ Financial Systems (NQF Level 5/6)
· 2-5 years’ experience or assistant experience working at a management level
· 2-5 years’ proven financial experience


Recommendation:
· A relevant Bachelor’s degree

KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:
· Proficient in MS Office (including Teams)
· Specific proficiency in KFS, IDU and VSS systems of NWU and other systems functioning in this
· educational environment
· Proficient in the use of the Internet and programmes such as Adobe and Grammarly.
· Excellent written and verbal communication skills with reference to the multi-lingual environment supported
· by the NWU.
· Excellent time management skills and ability to multi-task and prioritize work.
· Strong organisational and planning skills.

The annual total remuneration package will be commensurate with the level of appointment as advertised and in line with the NWU policy guidelines.
