Job description
PURPOSE OF THE POSITION
To provide financial administration and logistical support services to the CIGS department.
To provide logistical support for in-person meetings of the Secretariat
To provide administrative support to the Director
JOB DESCRIPTION
KEY RESPONSIBILITIES:
Financial administration for CIGS
· Responsible for CIGS financial administration on KFS (service billing, requisitions, disbursement vouchers, purchase orders, etc) for four OEs
· Responsible for CIGS assets management
· Responsible for liaison and enquiries with financial accountants
· Responsible for financial administration of council honoraria payments and council members claims
· Responsible for temporary contracts in terms of finances and administration and reconciliation of temporary claims against budget availability
· Assist the Director and line managers and with budget planning, budget control and variance reporting
Logistical support services for CIGS
· Responsible for maintenance requests of the department
· Responsible for purchasing of assets for the department
· Responsible for service requests for the department
Logistical support for in-person meetings of the Secretariat and other Secretariat matters
· Responsible for the arrangement of catering services for in-person meetings on request of the committee coordinators
· Responsible for the logistical arrangements related to Council meetings and the meetings the Director is responsible for
· Responsible for the following secretariat meeting venues in F1 building: Senate Hall, 106, 159, 147 and roof garden
Administrative support to the Director
· Secretarial services to the Director as instructed
· Provide administrative support to the Director as required
Minimum requirements
· Qualifications
NQF 7 - Bachelor's degree / Advanced Diploma in any of the following related fields:
· Finance
· Logistics
· Office administration
· Experience/s
· 5 Years financial administration experience is essential
· 5 Years Logistical arrangements experience is essential
KEY FUNCTIONAL/ TECHNICAL COMPETENCIES: (Knowledge and Skills)
· Advanced computers skills in MS Office (Word, Excel and PowerPoint), Groupwise and KFS financial system
· Personal assistant and office management
· Events management and related logistical arrangements
· Coordination and logistical administration skills
· Financial processes and systems knowledge
· Knowledge of a university environment
KEY BEHAVIOURAL COMPETENCIES:
· Good interpersonal relationships and positive client service orientation
· Good communication skills
· Ability to function and liaise with confidence at high level
· Ability to prioritise, plan, do effective time management, take initiative when necessary and work under pressure
· Demonstrate language proficiency to function optimally in the NWU’s multi-language environment
