Minimum requirements

·       Matric/Grade 12
·       Advanced certificate/Three year diploma (NQF 6)
·       Valid driver’s licence
·       Advanced knowledge and experience with the NWU financial system (KFS)
·       Experience in the NWU post-graduate student administrative processes
·       Advanced knowledge and experience in the NWU InfoEd and MRC RIMS systems
·       Advanced knowledge and experience with Microsoft office including Word, Excel, PowerPoint and Teams

Responsibilities:
1.     Financial administration
·       Initiate transactions such as purchase orders, goods receiving and payment requests, disbursement vouchers, international payments, and prepayments
·       Reconcile credit and debit card statements monthly
·       Handle financial enquiries from staff and suppliers (vendors)
·       Ad-hoc tasks related to financial administration
 
2.     Post-graduate student administration
·       Keep post-graduate databases updated
·       Keep files containing student code of conduct, indemnity forms, and confidentially reports updated, while considering POPIA
·       Gather post-graduate student progress reports and student questionnaires and submit signed forms to the research support office
·       Ad-hoc tasks related to post-graduate student administration
3.     Research output administration
·       Capture, update and manage the internal research output database
·       Capture, update and manage outputs on the Info-Ed and RIMS systems
·       Regular reporting on research outputs
·       Ad-hoc tasks related to research output administration

4.     General office administration
·       Schedule meetings, compile agendas and minutes of meetings
·       Prepare venues for meetings
·       National and international traveling arrangements for staff and visitors
·       Visitor arrangements such as welcoming of guests, arrange meals, preparation of venues and gifts
·       Arrange functions
 Ad-hoc duties such as courier of parcels, filing, initiate service billings, correspondence, and handling of inquiries
