NORTH-WEST UNIVERSITY (POTHCFESTROOM CAMPUS) FACULTY/ DIVISION: STUDENT LIFE POSITION NUMBER: P001040 VACANCY: ADMINISTRATIVE ASSISTANT PEROMNES GRADE: 13 EMPLOYMENT TYPE: PERMANENT WITH BENEFITS Purpose of the position: To provide administrative assistance to the Director: Student Life on the Potchefstroom Campus with respect to house parents and residence matters, excluding student accommodation.
Job description

Responsibilities:
Administration
  • General administration of town residences – membership lists, registration, web control and correspondence with prospective first-years as well as re-registration of senior students.
  • Send necessary notices and information to House Parents and House Committee (HC) members.
  • Assist with checking academic records of Students’ Campus Council (SCC) and HC members in accordance with regulations.
  • Compile list of newly elected HC members upon receipt of service acceptance forms.
  • Arrangements regarding placement of advertisements of vacancies for House Parents as well as arranging interviews with candidates in corroboration with People and Culture.
  • Arrange annual House Parent End-year Function.
  • Arrange gifts for retiring House Parents.
  • Arrange for the statistical processing of academic results for senior selection in residences.
  • Monitor students' academic performance with a view to bursary payments (honorariums) for SCC, Residence Managements and Academic Student Associations.
  • Submission of fee and evaluation forms regarding bursary payments to Student Loans and Bursaries Department.
  • Management of Academic Inter-residence competitions.
  • Arrange statistical processing and interpretation of results.
  • Liaise with House Parents, Deans and Directors regarding nominations for leadership training programme.
Secretarial
  • Compile agendas and minutes for CGC of Residences Meetings. Also handle all correspondence in this regard.
  • Handle duplication and distribution of relevant agendas and minutes.
  • Notice and scheduling of meetings.
  • Booking and scheduling of venues for meetings and arranging refreshments where required.
  • Residence rules: updated and distributed in collaboration with Students’ Campus Council.
  • First-year letters: Check the correctness of content.
Training
  • Help with organisation of the training of new House Parents as well as the Prestige Camp Training.
Ad-Hoc Assignments
  • Perform any ad-hoc assignments as may be deemed necessary.



Minimum requirements

  • Grade 12 is essential.
  • B-Degree or a Diploma in Office Administration or Similar Qualification in Administration is desirable (NQF 6)
  • Two (2) years’ of Administrative experience in a university environment.
  • Two (2) years' experience in student life or support services.

  • Must be able to work under pressure

 The annual total remuneration package will be commensurate with the level of appointment as advertised and in line with the NWU policy guidelines.
